Job Summary:
Chloeta is seeking one (1) Administrative Assistant/Project Coordinator for a position with a federal agency in Washington, D.C. The position is in the Executive Secretariat office and will be required to work in an office a minimum of two days a week.

Compensation:

- $15-$29 per hour

Duties/Responsibilities:
- Will maintain executive leadership daily and long-range calendars with keen awareness of roles and responsibilities as well as priority setting processes.
- Track and log incoming meeting requests for the Executive Secretariat along with responding to routine inquiries on their status.
- Assist executive leadership with technical assistance and guidance on the preparation, coordination and administrative processing of actions including drafting and review of correspondence.
- Screen phone calls to the Executive Secretariat and obtains background information to determine final placement of the calls.
- Arrange travel for the executive leadership as well as preparing travel vouchers for reimbursement of funds.
- Performs basic office administration such as, but not limited to archiving office and meeting records, ordering supplies, organizing meetings, arranging telecommunications requirements, developing and tracking building security access lists, escorting visitors, duplicating meeting materials, and providing logistical support.
- Develop and maintain the content of social media including the website and Facebook page by requesting updates from staff members as needed.

Required Skills/Abilities:
- Must have experience with Microsoft Office applications.
- Understand the mission and responsibilities of the agency for the priority setting process.
- Must be able to function and contribute as a member of a high performing team with significant interpersonal skills.
- Must be adaptable to a fast-paced environment and manage multiple assignments concurrently.
- Must have knowledge of Section 106 requirements to perform assigned tasks.
- Understand the Government Contract writing and Accounting Interface systems.
- Must have excellent verbal and written communication skills.
- Good organizational and time management skills.
Education and Experience:
- Required: Associate Degree in Science or Arts
- Required: At least three years of experience in administrative analysis, program coordination and office related duties.
- Preferred: Bachelor’s Degree

Physical Requirements:
- This job operates in a fast-paced, collaborative environment. This role routinely uses standard office equipment such as computers, phones, copiers, etc.
- Must be able to stand and move for long periods of time.
- Able to frequently lift at least 10 lbs.
