Adminsitrative Coordinator- $50,000 /year

JOB SUMMARY

The Administrative Coordinator will be responsible for providing high-level support to the Director of Operations by handling information requests, regional travel, cultivating creative ideas and performing administrative functions such as preparing correspondences, interacting with clients, and scheduling meetings and providing exceptional customer service.

ESSENTIAL FUNCTIONS

  • Answering high volumes of emails, phone calls while answering all routine and non-routine questions
  • Greet customers in a polite, positive manner. Anticipate customers needs and respond promptly.
  • Draft and send well-constructed and professional correspondences and proposals for clients/potential clients under the direction of the Director of Operations.
  • Maintain organization by creating and printing all labels, schedules, and BEOs
  • Assist the Director in creating, distributing and delivering reports to various departments
  • Assist Director of Operations with unit opening and /or closing procedures as needed.
  • Maintain positive guest relations at all times and notify the
  • Managing all complaints in an efficient and timely manner.
  • Notify the Director of all unusual events, circumstances, or other safety or quality control issues.
  • Maintain cleanliness of designated office areas and equipment. Organize and replenish supplies as needed.
  • Document and input inventory
  • Escort guests and vendors from the lobby and loading dock
  • Check on conference room and event spaces throughout the day to assist, show, or review
  • Coordinate with human resources to handle payroll and personnel databases
  • Work with accounting departments to process invoices, make payments, and track receipts

SKILL AND KNOWLEDGE REQUIREMENTS INCLUDE

  • High School Diploma/GED required. College degree preferred
  • Culinary/Hospitality/Business Administration or Associate\'s degree in food service or related field preferred.
  • Experience in the Hospitality; catering, restaurant, food service
  • At least 3 years' experience in an administrative support field
  • Must be able to read, write and speak English - Spanish speaking a plus
  • Regional Travel Involved- Train, Plane
  • Ability to multitask with a strong sense of common sense in a fast pace environment.
  • Computer proficiency with the ability to utilize MS Word, Outlook, and Excel is required
  • Demonstrated talent for interacting with a wide variety of people; ability to effectively organize and coordinate multiple priorities; ability to learn and develop new skills; ability to problem solve.
  • Excellent interpersonal, administrative, telephone and other communications skills.
  • Familiarity with office equipment, like printers and fax machines
  • Basic math skills; Strong customer service abilities; actively looks for ways to assist coworkers and customers
  • Ability to effectively organize and coordinate multiple tasks, work as a team, and quickly problem-solve

PHYSICAL AND MENTAL REQUIREMENTS

  • Moving about on foot to accomplish tasks, particularly frequent movements from place to place within the unit.
  • Bend, lift, carry, reach/extend arms and hands above shoulder height frequently, or otherwise moves in a constantly changing environment.
  • Lifting, carrying, and pushing up to 30 lbs. regularly, 20-25 lbs. frequently, and up to 35 lbs. occasionally.
  • Ability to sit at a desk in front of a computer for extended amounts of time.
  • Reading and writing work-related documents in English.
  • Constantly communicates and receives verbal communication with other employees in fast-paced environment.
  • Physical presence at the job site is essential to perform job duties.
