Description

About Children’s Hunger Alliance (CHA): Founded in 1970, Children’s Hunger Alliance (CHA) is a statewide nonprofit organization dedicated to ending childhood hunger, collaborating with organizations throughout Ohio to provide nutritious meals to at-risk children who need them most. CHA partners with in-home childcare providers, childcare centers, afterschool, and summer programs to provide balanced, nutritious meals to children in their care. Additionally, they work with schools to increase breakfast participation and provide weekend meals to students. CHA educators also deliver nutrition education and lead children in physical activities to support children’s long-term health.

Job Purpose: Responsible for assisting with all aspects of accounting duties, specifically accounts payable and payroll processes.

Job Duties and Responsibilities: Manage accounts payable transactions and accounting records in accordance with generally accepted accounting practices. Manage payroll process using third party payroll software (Paycom).

Accounts Payable:

  1. Receives all check requests and accounts payable invoices for payment. Verifies all backup documentation is attached, and check request has proper approvals (per the approved Signature Authority Document).
  2. On a weekly basis, enters all accounts payable invoices in Accounting Software (Financial Edge) for payment. Verifies all charges to accounts and grants are appropriate.
  3. Verifies vendor accounts by reconciling monthly statements and related transactions.
  4. Maintains W-9’s for all vendors.
  5. Reconciles accounts payable subledger to the general ledger monthly.
  6. Prepares checks/EFT’s/Bank Drafts and corresponding A/P reports for approval and signature.
  7. Mails signed checks and submits approved EFT’s and Bank Drafts to appropriate manager for processing.
  8. Maintains an orderly accounting system including accounts payable files.

Payroll:

  1. Ensures employee timecards and PTO requests are completed, approved, and ready for biweekly processing.
  2. Processes payroll transaction using third party payroll software (Paycom). Ensure totals agree to payroll control sheet.
  3. Sends payroll preview journal to Director of Accounting for approval.
  4. Submits payroll upon approval by Director of Accounting.
  5. Prepares and enters payroll journal entry into accounting software.
  6. Maintains all relevant payroll reports and documentation.
  7. Submits 401k data (contributions and loan information) to third party administrator.

Monthly Accounting Entries:

  1. Records daily bank activity.
  2. Enters Cash Management transactions.
  3. Records direct deposit transactions via Cash Receipts module.
  4. Imports check, cash and direct deposits from Fundraising Software (Raiser’s Edge).
  5. Imports donor pledges from Fundraising Software.
  6. Assists in entering other monthly journal entry transactions.

Miscellaneous:

  1. Maintains and updates accounting records and files.
  2. Assists in posting transactions to the general ledger.
  3. Assists in conducting month-end and year-end reconciliations and closures.
  4. Assists in assembling information for external auditors for the annual audit.
  5. Assists Director of Accounting with various agency projects.
  6. Other duties as assigned.

Qualifications


Job Qualifications:

  1. Associate degree in Accounting or equivalent.
  2. Two-three years’ relevant payroll/accounting/financial experience
  3. Proficiency with Microsoft Office Suite and other computer skills in a network environment
  4. Proficiency with Accounting and Payroll Software
  5. Planning, organizing and time management skills
  6. Ability to work with diverse individuals at all levels in an organization
  7. Interpersonal skills including oral and written communications
  8. Experience managing multi-dimensional chart of accounts
  9. Ability to multi-task and meet deadlines despite interruptions and new challenges
  10. Good work ethic; positive; resourceful
  11. Ability to work independently
  12. Attention to detail
