Position Summary:

Bring your excellent people skills and your experience providing administrative support in a human resources or business environment to Child and Family Services as a Human Resources Assistant! Child and Family Services is a 150-year-old agency with deep roots in the community and our mission is nurturing a healthy and more equitable Western New York for the benefit of current and future generations. Working a hybrid schedule, both at home and in our 3901 Genesee Street location, you will provide direct administrative support to our HR Department and are responsible for the smooth functioning of our talent acquisition and onboarding processes.

What does a day in the life of the Human Resources Assistant look like?

On a typical day, you will provide administrative support to the CHRO, and assist with Human Resources processes such as recruitment, onboarding, employee questions, e-filing, and other day-to-day HR functions.

As the Human Resources Assistant, your day will include:

    • Handling recruitment and hiring functions, including conducting background checks and references on applicants.
    • Providing clerical and administrative support to the CHRO and HR department staff.
    • Compiling and updating employee records, ensuring file compliance.
    • Managing the importing of information to employee electronic files.
    • Purchasing and coordinating state and federal required postings.
    • Processing the monthly department expense report.
    • Supporting and making recommendations to improve HR policies and processes.
    • Answering questions and assisting employees with human resources matters.
    • Assisting with periodic program audits as requested.
    • Assisting with new hire orientation, monitoring completion of program sessions.
    • Assisting with on-boarding new employees including creating new hire files, HRIS data entry of information.
    • Participating in developing department goals, objectives and processes.
    • Maintaining current working knowledge of the HRIS.
    • Actively acquiring employment and labor laws, legal and regulatory knowledge, as applicable.
    • Assisting with other day-to-day HR functions and duties.
    • Answering and responding to Agency phone, fax and email systems; providing exceptional customer service.
    • Maintaining knowledge of Agency programs and services.
    • Maintaining positive working relationships with program staff and others within the agency.
    • Modeling and practicing kindness, teamwork, sensitivity, confidentiality, fair treatment and acceptance of diversity in all interpersonal interactions.
    • Participating and contributing to department Quality Improvement process.
    • Performing other related duties as requested.

The Qualified Candidate will have:

  • Bachelor’s degree and at least one (1) year of support experience in an office setting, preferably in HR.
  • Effective oral and written communication skills.
  • Excellent interpersonal skills.
  • Excellent analytical and problem-solving skills.
  • Strong computer experience including Excel and all other MS Office programs.
  • The strongest attention to detail, ability to multi-task and follow-up on priority tasks.

Competitive Salary of $19.00/hr. - $22/hr. depending upon education and experience and based on a 35-hour workweek.
