Chicago Commons is Hiring a CCAP Program Specialist Near Chicago, IL

Position Summary

The Child Care Assistance Program (CCAP) Program Specialist is responsible for data input related to all aspects of intake, eligibility, enrollment, attendance, and payment for the CCAP program. This role is responsible for entering accurate information in both state and agency databases within the required time frames. 

Education & Certification Requirements

  • An Associate Degree in a related field. Prior experience or knowledge of CCAP; and working with families with low income and/or childcare subsidies preferred. 

Experience & Training Requirements

  • Knowledgeable about current Illinois Department of Human Services Childcare program guidelines, including rules and regulations affecting families served. 
  • Proficient in Word, Excel, and database software (at a minimum). 
  • Fast learner and very good at following very detailed instructions. 
  • Able to provide the highest level of customer service. 
  • Able to work with confidential information. 
  • Able to work in a fast-paced environment under pressure. 
  • Able to speak and read English proficiently.
  • Bilingual Spanish a plus.
  • Experience with Salesforce/Early Bird, COPA, and IDHS database CCMS preferred.

Desired Outcomes

  • Proven ability to complete and submit accurate and timely monthly attendance forms. 
  • Accurate copayment calculations for parent fees based on program criteria.
  • Proven ability to track attendance, copays, and eligibility within allotted deadlines.

Essential Job Requirements & Duties

  • Review and monitor childcare tracking.
  • Process all new CCAP applications as completed. 
  • Maintain data related to eligibility, re-determination tracking, attendance tracking, and copays. 
  • Ensure the timelines of redetermination applications are met. 
  • Submit Notice of Approval, Notice of Denial, or Notice of Cancelation within 30 working days from the received date of the application, redetermination, or change of information form. 
  • Calculate parent fees (co-payments) based on income, family size, age of children in care, and the childcare schedule. 
  • Complete and submit accurate monthly attendance forms to management. 
  • Enter data into the organizational accounting systems. 
  • Enter all required data into the state database system on a monthly basis. 
  • Maintain accurate waiting list and review status of all new applications. 
  • Work collaboratively with the CCAP Program Coordinator, ERSEA Coordinator, and School Compliance Specialist. 
  • Provide data as needed by management. 
  • Other duties as assigned.

Physical Requirements:

The employee must regularly operate a word-processing system and therefore must be able to read, produce and transmit data on such a system. The employee frequently is required to stand, walk, reach with hands and arms, and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 40 pounds.
