JOB DESCRIPTION
POSITION SUMMARY

The Human Resources Coordinator reports to the Senior Human Resources Manager and plays a crucial role in supporting HR team in various functions related to talent acquisition, employee engagement, and maintaining positive employee relations. The Human Resources Coordinator will assist in recruiting top talent, implementing employee engagement initiatives, and addressing workplace issues to foster a supportive and productive work environment.

POSITION RESPONSIBILITIES

Provides clerical support to the Human Resources Talent and Development team to include the following disciplines:

Talent Acquisition

  • Assists the Talent Acquisition Manager in utilizing various recruitment channels to source potential candidates, including job boards, social media, and networking platforms.
  • Arrange logistics for interviews, including scheduling meeting rooms, video conferencing, and coordinating travel arrangements for candidates if necessary and coordinating with hiring managers to ensure a standard interview process.
  • Provide candidates with relevant information about the interview process, including directions, interviewers' names, and expectations.
  • Serve as the primary point of contact for candidates throughout the recruitment process, providing updates, answering inquiries, and addressing concerns promptly.
  • Communicate with candidates regarding interview feedback, next steps, and offer details in a professional and timely manner.
  • Maintain ongoing communication with candidates to keep them engaged and informed about their application status.
  • Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
  • Assist in the onboarding process for new hires, including preparing offer letters, coordinating pre-employment screenings, and facilitating new hire orientations.
  • Collaborate with HR colleagues and hiring managers to ensure a smooth transition for new hires into the organization.
  • Assists in generating reports and metrics to track recruitment KPIs, including time-to-fill, source effectiveness, and candidate pipeline.

Early Careers

  • Assists with the design, develop, and implement student programs, including internships, co-op programs, and WBL initiatives.
  • Assist in coordinating recruitment efforts to attract top student talent, including promoting programs, scheduling recruitment outings, and conducting follow-up interviews.
  • Ensure a smooth transition for students into their roles, including arranging workspace, access to systems, and introductions to team members.
  • Implement feedback mechanisms to gather input from students and stakeholders for program improvement.
  • Collaborate with supervisors and mentors to assess students' performance and assists with tracking their progress throughout the program.
  • Assists the School Lead in maintaining relationships with academic institutions, student organizations, and industry partners to support program objectives and enhance recruitment efforts.

Employee Relations

  • Assists in the maintenance of accurate and up-to-date records of candidate information, interview schedules, and recruitment activities in the applicant tracking system (ATS).
  • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately
  • Assists with administrating all appropriate onboarding and termination processes within HRIS and across all current systems
  • Assists with creating and coordinating employee engagement events
  • Assists with project-based functions of the Human Resources Department
  • Maintains open communication with employees to assist in any internal matters
  • Maintains knowledge of trends and best practices in human resources
  • Looks for ways to constantly improve by recommending new approaches and practices to improve efficiency of Human Resources Department
  • Complete administrative tasks associated with employee annual reviews including maintaining employee folders, follow-up emails, manager assignment, etc.

EDUCATION & EXPERIENCE

  • B.S. in Human Resources or related field preferred, or 1-3 years of experience in Human Resources
  • HR Certification, or willingness to obtain
