CareFirst BlueCross BlueShield is Hiring an Executive Assistant I (Hybrid) Near Baltimore, MD

Resp & Qualifications

PURPOSE:
We are looking for an experienced Executive Assistant to support Vice Presidents with our dynamic Health Services division. The ideal candidate will live in the greater Baltimore metropolitan area and must be willing and able to work in a hybrid model. This means working a portion of their week from home and a portion of their week at a CareFirst location based on business needs and work activities/deliverables that week. The incumbent will support Executives in our Cost of Care and Clinical Support Services functional areas undertaking a range of advanced, confidential duties that may span administrative tasks and project-based assignments. This role demands extensive experience, proficiency in organizational policies, and the ability to exercise judgment in complex situations. The Executive Assistant prepares correspondence, reports, and presentations, coordinates meetings, and may represent the executive when necessary. Requires sufficient skills to communicate effectively with peers and senior level leaders. Performs complex tasks requiring the consideration of multiple variables to determine proper course of action. While tasks are complex, most decision-making can be made within pre-determined approaches. May lead and provide functional guidance to others providing administrative support. Works under general guidance and supervision of the Executives being supported.
ESSENTIAL FUNCTIONS:

Provides day-to-day administrative support including but not limited to calendar management, meeting scheduling, travel coordination, and event planning and coordination.
    Screening and where possible, responding appropriately to emails on increasingly complex matters, in a manner that reflects an ability to discern between critical and less urgent matters.
    Tracks and coordinates with others to ensure completion of all action items for the Executive. Proactively follows up on outstanding items.
    Processes all overhead invoices for equipment, conference rooms, and other operations related invoices, as well as Executive related expense reports.
    Procures equipment (phones, IT equipment, facilitation resources) for all conference rooms.
    Coordinates logistics for offsite meetings and conferences sponsored by the Executive, ensuring smooth execution with minimal disruptions.
    Keeps reimbursement files organized and up to date for budget and other purposes.
    Mentors others providing administrative support.
  • Assists higher level Executive(s) and/or their Executive Assistant(s), when needed, in the planning of meetings, executive visits, and customer visits. Coordinates requirements with executive staff at other locations.


SUPERVISORY RESPONSIBILITY:

Position does not have direct reports but is expected to assist in guiding and mentoring less experienced staff. May lead a team of matrixed resources.


QUALIFICATIONS:

Education Level: High School Diploma or GED.
Experience: 5 years experience supporting executive level management.
Preferred Qualifications: Knowledge of Health Insurance industry and prior work experience in a clinical operations environment would be a plus.
Knowledge, Skills and Abilities (KSAs)

  • Adept at learning new technologies to perform data entry, manage calendars, and create reports.
  • Proficient in Microsoft Office applications.
  • Strong time-management and organizational skills.
  • Excellent communication skills both written and verbal.

Salary Range: $54,144 - $99,264

Travel Requirements:
Estimate Amount: The Executive Assistant will have the capability to work hybrid but will be required to come into a CareFirst office location as needed to facilitate in-person meetings, events, or other activities that cannot be conducted virtually. The working environment may involve occasional travel to other office locations or offsite venues for meetings or conferences.

This compensation range is specific and considers factors such as (but not limited to) the scope and responsibilites of the position, the candidate's work experience, education/training, internal peer equity, and market and business consideration. It is not typical for an individual to be hired at the top of the range, as compensation decisions depend on each case's facts and circumstances, including but not limited to experience, internal equity, and location.
