Job Summary
The Administrative Assistant will work under limited supervision, provide high-level administrative support by conducting research, prepare reports, handle information requests, and perform clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Performs various administrative duties and tasks as directed. Tasks are varied and on routine assignments limited instruction is required, and other special projects will require attention to detail and specific instructions.
Essential Functions
- Support the Sr. Executive Assistant and Staff (Director level and above) as needed on various assignments and projects.
- Prioritize requests from the executives and complete them timely.
- Able to maintain a high level of confidentiality.
- Prepare invoices, reports, memos, letters, and other documents, using word processing, spreadsheet, database, or presentation software.
- Be able to track and maintain various spreadsheets for projects.
- Answer phone calls and direct calls to appropriate parties or take messages.
- Conduct research, compile data, and prepare papers for consideration and presentation by executives, and committees.
- Provide backup to Receptionist daily, greet and direct visitors to the company in a professional, friendly, and hospitable manner.
- Read and analyze incoming documents, submissions, and reports to determine their significance and plan their distribution.
- File and retrieve corporate documents, records, and reports.
- Organize and schedule appointments and meetings.
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
- Assist and execute in planning special events.
- Expected to work the day before and the day of special events.
- Make travel arrangements for corporate office staff.
- Credit Card Reconciliation and Expense Reporting.
- Maintain a neat and professional area.
- Follow all safety and working rules.
- Must have the ability to get along with co-workers, management personnel, customers, vendors, and employees in accordance with the company policies and working rules while ensuring a harmonious and conducive work environment.

Qualifications

Education and/or Experience
- Associate degree or higher or a minimum of five plus years of progressively more responsible office/clerical/receptionist/administrative assistance experience.
- Excellent verbal and written skills required.
- Strong computational skills required.
- Simple math reasoning required.
- Proficient in using various PC-based software packages including Microsoft Word, Excel or similar word processing/spreadsheet software.
Language Skills
A well-modulated tonal volume is required with excellent diction skills needed.
Reasoning Ability
Must have the ability to apply common sense understanding to carry out instructions given in written, oral, or diagram form. Must have the ability to discern when issues may require input from levels of authority within the corporation. Ability to use discretion and handle sensitive/confidential information.
Certificates, Licenses, Registrations
Administrative Assistant Certification or equivalent desired.
Notary Service Preferred or willingness to obtain.
