responsibilities
· Manage the day-to-day administrative operations of the office and provide administrative support to programs, units, and services for which the COO and Director of Health Center Operations are responsible.
· Assists COO and Director of Health Center Operations in producing, formatting and distributing regular productivity reports,
· Type confidential office correspondence, memos, and/or reports. Sorts and distributes incoming BCDC mail and out-going Executive mail
· Monitors, edits and submits bi-weekly Operations staff timesheets in ADP
· Schedule monthly operations team and 1 on 1 supervision meetings
· Maintains files and filing system for Operations; evaluates current filing system and plans/executes revisions to the current system
· Answers telephone and participates in the office Executive telephone call group. Takes messages for the COO and the Director of Health Center Operations and other members of the Executive staff as appropriate
· Opens and reviews mail addressed to COO and the Director of Health Center Operations; handles those items that are of a purely administrative nature
· Drafts administrative memos and letters and prepares forms as appropriate.
· Assists in preparing and updating of all policy and procedure manuals related to Operations.
· Coordinates planning, preparation and execution of academic and administrative meetings within BMS, as well as with outside individuals and agencies for the office of the COO and the Director of Health Center Operations including making arrangements for meals and refreshments as appropriate.
· Assists with the execution of special projects, training at the discretion of the COO and the Director of Health Center Operations.
HOURS: Full-time, Mon, - Fri 8:30 am-4:30 pm; with flexibility
QUALIFICATIONS
· Bachelor’s Degree.
· Excellent organizational and interpersonal skills.
· Ability to effectively handle and prioritize multiple tasks concurrently.
· Excellent Microsoft Office Suite capabilities including Word, Excel spreadsheets, Outlook, PowerPoint, graphics,
· Windows 2000, etc.
· Team player, highly motivated and a self-starter.
· Ability to multi-task and set priorities in a fast-paced environment
· Excellent communication skills both written and oral.
