BCL Search is Hiring an Executive and Personal Assistant to CEO of Financial Firm in Midtown Near New York, NY

Our client, a renowned financial services firm, is seeking an experienced, trustworthy, and collaborative Executive/Personal Assistant, providing support with responsibilities that blend between business and personal for their CEO. This is a high-level EA/PA role that requires a 24/7 mentality, and the successful candidate must have experience doing personal aviation for an executive. The role is mainly remote, except for about 6-10x a month when the executive is in office. Whenever the CEO is in the office, this person would need to be as well. This is a great opportunity to support a wonderful executive and also work get involved with his personal charity work.

RESPONSIBILITIES
  • Assist the CEO with calendar management including scheduling appointments, booking meetings, and coordinating with internal and external stakeholders.
  • Assist with all travel arrangements including booking flights, hotels, cars, and handling visas as necessary for both CEO and family, although primarily for CEO.
  • Look/plan for ongoing board meetings, events that need to be blocked in calendar.
  • Help manage sourcing and oversight of maintenance, services, bill-pay and other household matters.
  • Protect the CEO's time; adequate blocks for phone calls, emails, meetings that run over.
  • Register guests into security prior to arrival, as well as confirming meetings in advance.
  • Perform personal tasks including running errands, picking up morning smoothies, making reservations, shopping, doctors and fitness appointments, and other ad hoc requests.
  • Organize, prioritize, and execute assigned projects from start to finish, manage timelines to ensure deadlines are met and collaborate cross-functionally.
  • Work from time to time with CEO's wife; organize domestic and international travel logistics for family
  • Liaise with the Family's nonprofit charity and staff on a variety of matters
  • Organize family travel, including but not limited to holidays and family vacations
  • Complete expense reconciliations and prepare and submit expense reports in accordance with company practices.
  • Buy/send gifts on behalf of CEO and family for special occasions.
  • Manages CEO's reputation and relationships both professional and personal.
  • Perform general administrative duties including filing, copying and mailings.
  • Working in tandem with the CEO's driver for pickups/drop-offs for mtgs/travel
  • Remind CEO of important anniversaries, birthdays, thank you notes in advance.
  • Other duties as assigned.
REQUIREMENTS
  • Minimum of 10 years of work experience in similar roles supporting a CEO, Founder or similar level executive, including business and personal support; preferably within the Finance industry.
  • High level of proficiency in MS Office (Outlook, Excel, Word and PowerPoint)
  • Trustworthy, diplomatic, tactful, operates with grace, supremely discreet, and loyal.
  • Strong collaborative nature with the ability to work well independently and as part of a team.
  • Well organized, detail-oriented with strong communication skills and ability to anticipate

SALARY
$150-$200K (DOE) generous bonus great benefits perks
