BayPort Credit Union Brand is Hiring a PT-Administrative Assistant Near Newport, VA

  • Maintains a significant level of trust, confidentiality, integrity, and diplomacy at all times.
  • Provides administrative assistance to the executive team.
  • Assists in managing executive’s calendars, scheduling appointments, and coordinating meetings.
  • Handles escalated complaints and directs them to the appropriate person for assistance.
  • Prepares and edits reports, presentations, and other business documents as required.
  • Responds to phone calls, emails, and other correspondence, ensuring prompt and professional responses.
  • Receives, sorts, screens, and distributes incoming mail; prepares out-going mail.
  • Coordinates and greets credit union visitors, vendors and members.
  • Collaborates with other team members to ensure seamless communication and workflow.
  • Responsible for the boardroom and the boardroom kitchen to include scheduling, cleaning, stocking, and shopping for supplies. Maintains knowledge of boardroom audio visual equipment and assists when needed.
  • Attend, transcribe, and distribute minutes for requested executive meetings as needed.
  • Complies with all organizational Policies and Procedures.
  • Coordinates VACUL and Chapter meeting events.
  • Complies and completes all annual required training to include BSA, Red Flag, and Security Awareness.
  • Assists executive team with conference attendance. This includes but not limited to registration, accommodations, meals, transportation, extra activities, meeting material and schedules.
  • Coordinates with outside groups for use of BayPort’s meeting spaces.
  • Covers for Corporate Receptionist as needed.
  • Acts as back up for Executive Assistant as needed.
  • Performs all other duties as assigned.

QUALIFICATIONS:

Required Education: High School Graduate.

Required Experience: in a professional office setting. 

Preferred Experience: 6 – 24 months experience in a financial institution environment.

Skills/Abilities:

  • Excellent customer service skills. Proficient in Microsoft Office Suite to include Word, Excel, Power Point, Outlook, and Microsoft Office 365. 
  • Problem-solving, organizational skills, attentive to detail and possess the ability to multi-task. Able to work flexible hours.
