SUMMARY: The Marketing Services Coordinator will provide support to attorneys, as well as assist in full-cycle strategic event planning, including concept development, planning, execution and follow-up of all assigned office marketing events. The Marketing Services Coordinator will coordinate firm marketing services activities, community contribution and sponsorship management, client entertainment and ticket coordination, and other responsibilities as assigned for the Indianapolis office. This position reports to the Indianapolis Marketing Services Manager.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Develop a deep understanding of the Indianapolis office’s practice areas, including services, expertise, clients and competitors.
2. Maintain a robust professional network within the Indianapolis market.
3. Manage and support all Indianapolis office marketing events including, but not limited to, department and practice group workshops and seminars, networking receptions, political receptions and signature events, as assigned.
4. Prepare PowerPoint materials for presentations.
5. Support webinar coordination. ON24 experience a plus.
6. Manage database and event registrations via the firm’s Contact Relationship Manager (CRM) system.
7. Assist Indianapolis Marketing Services Manager with client and office community relations and sports and entertainment budgets.
8. Assist Marketing Services Manager with execution of sponsorships, contributions, and benefits associate with same.9. Work with the Indianapolis Office Managing Partner to schedule partner, associate and legal personnel lunches.
10. Attend staff meetings and give marketing updates, as requested.
11. Assist in managing the Indianapolis office specific social media.
12. Manage internal office newsletter.
13. Inventory and distribute sports-related and other tickets for client entertainment.
14. Participate in onboarding of new attorneys.
15. Coordinate with the communications team to complete surveys, directories, nominations and other listings.
16. Prepare various monthly statistical reports.
17. Assures the availability of collateral and company store materials, including selecting gifts for clients.
18. Support CLE application management, as needed.
19. Other duties as assigned.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
1. In order to assume responsibility for the office marketing programs, the candidate must have the level of marketing, communications, and public relations knowledge normally acquired through the completion of a bachelor’s degree in marketing, communications, or equivalent.
2. Three to five years of progressively responsible related work experience in a professional services industry. Legal experience a plus.
3. Interpersonal and communication skills in order to communicate with a diverse group of attorneys, staff and clients and provide information with ordinary courtesy and tact while safeguarding confidentiality, and to effectively negotiate and represent the firm in a favorable and business-like manner.
4. Interpersonal skills necessary in order to communicate by telephone and e-mail to provide information with ordinary courtesy and tact.
5. Experience in developing and utilizing marketing databases, and a familiarity with marketing related computer tools.
6. Thorough understanding of and involvement in the Indianapolis business culture and market, respectively.
7. Work occasionally requires more than 40 hours per week to perform the essential duties of the position; may require irregular hours, and occasional travel.
8. Highly organized, with the ability to effectively prioritize and complete numerous tasks under stringent time constraints and deadlines.
9. Possess a well-developed professional network within the Indianapolis market.
10. Ability to proofread typed materials for grammatical, typographical and spelling errors; excellent written and oral communication skills.
11. Ability to prepare, understand and monitor approved budgets.
12. Ability to follow direction from a diverse group of attorneys, clients and staff, providing requested information with courtesy and tact.
13. Proficiency in Windows XP; Word, PowerPoint and spreadsheet applications, preferably Excel. CRM and CLE experience a plus.
WORKING CONDITIONS:1. Normal law office environment with little exposure to excessive noise, dust, temperature and the like.
