Duties

As an Administrative Specialist, you will perform the following duties:

  • Provide administrative support in the execution of office functions to include receiving, screening, and routing telephone calls and visitors from other organizations, private industry, and the public.
  • Manage multiple executive office calendars; conferences; arrange meetings, assemble background materials and records.
  • Maintain control of mail/packages; copying, scanning, printing, and compiling documents.
  • Prepare executive correspondence.
  • Support day-to-day building and space management operations.
  • Support the acquisition functions, prepare and route procurement requests.
  • Provide human resource functions to include timekeeper and preparing hiring actions.
This Job Opportunity Announcement may be used to fill other Administrative Specialist GS-0301-9/11 GS-11 positions within the Department of Commerce in the same geographical location with the same qualifications and specialized experience.

Qualifications

Qualification requirements in the vacancy announcements are based on the U.S. Office of Personnel Management (OPM) Qualification Standards Handbook, which contains federal qualification standards. Applicants must possess one year of specialized experience equivalent in difficulty and responsibility to the next lower grade level in the Federal Service. Specialized experience is experience that has equipped the applicant with the particular competencies/knowledge, skills and abilities to successfully perform the duties of the position. This experience need not have been in the federal government.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations e.g., professional; philanthropic, religious; spiritual; community, student, social). Volunteer work helps build critical competencies; knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Specialized Experience: To qualify at the GS-9 grade level, applicants must possess one year (52 weeks) of specialized experience equivalent to the GS-7 grade level in the Federal Government.
Experience for this position includes:

  • providing administrative support in the execution of office functions to include managing calendars, arranging travel, or screening incoming calls or visitors.
  • Using Microsoft applications to prepare correspondence and reports, and
  • Completing budget requests for supplies or work orders.

OR
Master's or equivalent graduate degree
OR
2 full years of progressively higher-level graduate education leading to such a degree or LL.B. or J.D., if related.
Specialized Experience: To qualify at the GS-11 grade level, applicants must possess one year (52 weeks) of specialized experience equivalent to the GS-9 grade level in the Federal Government.
Experience for this position includes:

  • Providing administrative support in the execution of office functions to include overseeing calendars, scheduling appointments and conferences; arranging meetings, utilizing electronic mail and electronic calendaring systems.
  • Preparing legal correspondences, charts, tables, reports, and slides using various software packages.
  • Oversees travel coordination in preparing travel vouchers, advises, monitors and manages travel documents.
  • Assisting and advising staff on all procedural and administrative processes and procedures.

OR
Education: Ph.D. or equivalent doctoral degree or 3 full years of progressively higher-level graduate education leading to such a degree or LL.M., if related.
I have a combination of graduate level education and experience. NOTE: Only graduate education in excess of two years is qualifying for combination.

How You Will Be Evaluated

You will be evaluated for this job based on how well you meet the qualifications above.
