The role

To provide administrative and secretarial support to the Chief Actuary and his Senior Leadership Team to ensure dependent activities are completed to a high standard and in line with stakeholder expectations Our Aspen Values are expected to be reflected in the delivery and performance of every role.

Key accountabilities

  • Contributes to, monitors and advises on the plan developments and changes in order to ensure relevancy, compliance and optimal delivery.
  • Assists in the preparation and implementation of the operational team plans to ensure these are in line with wider business strategy and reflect the key priorities.
  • Determines own work priorities and activities in line with agreed plans to ensure the achievement of the function’s objectives.
  • Supports the implementation of the divisional/departmental strategy to enable delivery of overall business targets.
  • Proactively drives actions on behalf of the Executive and assist with management of their workload.
  • Assists in the development and preparation of documentation e.g. board papers, liaising with relevant business experts as necessary and ensuring they are in line with protocols, and meet expected standards and formats.
  • Ensures files are compiled and maintained in a logical and accessible manner and that issues are clearly documented at all times.
  • Establishes, enhances and enforces minimum conformed standards for written material, ensuring a professional standard is achieved.
  • Ensures awareness and compliance with regulatory and legislative requirements.
  • Makes decisions on behalf of the Executive within the limits of delegated authority i.e. travel and holiday requests. Administers, manages and maintains records etc. for the Executive’s line reports ensuring the relevant protocols are followed (e.g. holiday, sickness, expenses).
  • Acts as the professional “face” of the Executive to ensure internal and external stakeholder requests are managed professionally and in a timely manner and in accordance with service standards.
  • Establishes, strengthens and develops relationships with stakeholders to maximize influence, and achieve business objectives.
  • Demonstrates an understanding and awareness of market dynamics and market cycle to enhance business performance. Deputizes for other executive assistants and supports visiting senior executive team members.
  • Act as a technical expert to support the identification of issues and opportunities within area of expertise.
  • Screens, prioritizes and annotates incoming information and communications (telephone, electronic, paper) responding, re-directing or referring to the Executive as appropriate.
  • Assists Executive in dealing with administrative aspects of highly confidential matters such as acquisitions and delicate staffing matters.
  • Project-manages key projects on behalf of Executive to support achievement of results.
  • Compiles documentation, creatively formatting and presenting information when necessary within prescribed timeframes and to expected standards.
  • Supports the senior team in the production of management information reports, presentations and financial analysis of data to enable effective monitoring of activity, risks and issues.
  • Acts as operational secretary to key statutory committees to ensure effective administration of the meetings and accurate recording of information.
  • Monitors P&L monthly reports for performance against budget for the areas under the Executive’s responsibility
  • Identifies and evaluates potential improvements to maximize the use of technology.
  • Acts as a referral point to other members of the Corporate Support team on specific tasks.
  • Supports the team to ensure required standards of performance

Skills & experience

  • Excellent understanding of: Work of department and individual team roles
  • Aspen structures and activities
  • Good working knowledge of relevant Aspen systems, processes and procedures.
  • Good knowledge of Aspen’s committee structure – plus protocols for board reports, committee papers etc.
  • Good understanding of Aspen and how the activities of own function/business area link to specific business objectives. · Core secretarial skills. · Time and diary management.
  • Strongly proficient in MS Office applications; Word, Excel and PowerPoint).
  • Strong interpersonal and communication skills.
  • Ability to plan and manage own workload plus manage upwards.
  • Flexible approach and able to work effectively at critical periods (e.g. financial year end, quarter end etc.)
  • Able to work independently.
  • Able to manage conflicting priorities to achieve deadlines.
  • Strong customer orientation skills.
  • Ability to collaborate effectively within a team environment.
  • Strong attention to detail, strong investigative skills and negotiation skills.
  • Able to produce MI and detailed reports at various levels.
  • People management – ability to engage and lead others.
  • Ability to work under pressure and to tight timescales
  • Educated to degree level standard or equivalent (desired).
  • Experience of dealing with financial data with strong analytical skills.
  • Extensive secretarial experience within a corporate environment at a PA level.
