Armada Hoffler Properties is Hiring a Preconstruction/Development Administrative Assistant Near Virginia, VA

Job Summary:

Performs a variety of administrative tasks for the Preconstruction and Development teams related to project planning and execution which includes, but is not limited to, permitting, contracts, and preparation of appropriate documentation for various preconstruction and development initiatives.

Responsibilities:

  • Provide administrative support from onset of project development through completion of preconstruction activities.
  • Management of documents across different project management platforms such as ViewPoint Construction software.
  • Review and evaluate bids and quotes from vendors, contractors, and suppliers.
  • Assist in the drafting and preparation of purchase orders and subcontracts (to Architects and Engineers, consultants, and construction team).
  • Process documents for signature using DocuSign program.
  • Coordinate with Contractor for the receipt of operations and maintenance manuals and as-built plans.
  • Assist Development team to obtain bonds, permits, easements, and temporary utilities. This would also include completing applications, making appropriate phone calls, ensuring check requests are prepared and processed.
  • Gather necessary information for appropriate personnel to conduct financial analysis of potential development projects.
  • Assist in analysis of development sites under contract, and report on key findings that may impact financial return of proposed projects.
  • Maintain awareness of daily development team schedules, coordinate meetings, travel, luncheons, appointments, etc. for team.
  • Coordination of team meetings to define clear goals and objectives of project.
  • Other tasks and duties assigned by management personnel.

Required Qualifications & Skills

  • High school graduate or equivalent
  • 2 to 4 years or experience in an administrative support position within the commercial construction or real estate industry. Experience with a General Contractor is preferred.
  • Proficient with MS Office Suite and Adobe Acrobat.
  • Experience with reviewing and drafting consultant and vendor contracts.
  • Excellent interpersonal, verbal, and written communication skills.
  • Strong organization and document management skills.
  • Detail oriented with ability to prioritize in a fast-paced environment assisting multiple managers.
  • Experience with ViewPoint Construction Software is a plus!
  • Demonstrate integrity and honesty and model ethical behavior and core values of the company- Quality, Service, Flexibility, and Integrity.

Physical Demands and Work Environment :

While performing the duties of this job, the employee will typically work inside an office. Performing this job will require use of hands to fingers with the ability to handle, or feel objects, sit, talk, and hear. It requires the employee to stand, walk, climb stairs, balance, and occasionally stoop, and kneel. Specific vision abilities required by this job include close vision, peripheral vision, depth perception and the ability to adjust focus. Employee may occasionally lift and/or move up to 15 pounds.

Employee must be able to pass pre-employment and random drug screens and a background check.
