Job Summary

This role is that of a gatekeeper, liaison, and first point of contact for the Chairman of the Board as he interfaces with the Board, executives, investors, high-profile individuals, and business leaders. Must have a polished demeanor, and be confident, outgoing, and motivated. Must be a self-starter who possesses strong interpersonal skills. This person will be a confidant of the Chairman and be part of a strategic team that supports him.

Responsibilities

  • Provides direction and prioritization standards for the screening of the Chairman of the Board’s mail, e-mail, voicemail, and appointments using professional judgment and knowledge; drafting replies when appropriate.
  • Liaise with and greet associates, Board of Directors, clients, and VIP’s with a superior degree of professionalism.
  • Coordinates and maintains the Chairman of the Board’s schedule to include organizing of all appointments, travel arrangements, and meetings (including set up). This includes arranging complex domestic and international travel (both commercial and private).
  • Assists the Chairman of the Board’s family members with various tasks as requested.
  • Learn and anticipate the Chairman’s preferences and priorities.
  • Run errands as requested including driving to the Eastern Shore, bank deposits, shopping, etc.
  • Performs other related administrative duties as assigned.

Requirements

  • Five to ten years of relevant experience in a personal/executive assistant role.
  • Ability to plan, organize, and prioritize work for self and the Chairman of the Board individual in an environment with multiple and conflicting demands with acute attention to detail.
  • Possess highly refined written and verbal communication, interpersonal and advocacy skills.
  • Must be able to work and communicate with a wide variety of people in a professional, diplomatic and friendly manner.
  • Ability to maintain confidentiality and handle sensitive matters diplomatically and discreetly.
  • Accurate word processing skills and a broad knowledge of Microsoft Office software including Word, Excel, PowerPoint and Outlook.
  • Proficiency in Spanish preferred

Physical Demands and Work Environment

While performing the duties of this job, the employee regularly works in an office setting and is regularly required to use hands and fingers to handle, feel, or operate objects, tools or controls, and reach with hands and arms. The employee is frequently required to sit, stand, balance, kneel, climb stairs, talk and hear. The employee will occasionally lift and/or move up to 20 pounds.
