Acting as the hub of operations this role provides key administrative support and timely business processing task completion and multiple teams support.
Prior experience in all aspects of office management is essential for this full-time autonomous and diverse role.
Responsibilities
65% Office Administration and Compliance
You will take primary responsibility for all incoming mail and deliveries and ensuring that strict compliance timelines are adhered to for business processing across teams for all incoming items. Responsible for all office financials, including payroll, invoicing, purchasing, billing and budget control. Completes all HR duties in relation to the 3 teams and understands and enforces compliance guidelines in relation to Ameriprise guidelines, CA employment outlines and law.
15% Client Care
Provides client relationship support via phone, email and in person. Use a multi-line phone system to answer and redirect all incoming calls. Direct client lead events in office.
20% Facilities and Office upkeep
Responsible for maintaining a 5* facility inside and out. Ensure all required maintenance is scheduled and completed proactively and within budget guidelines. Develop and maintain vendor and stakeholder relationships.
Key traits of a Successful Front Desk receptionist and Office Manager
This role demands an attention to detail and someone who is process driven. Excellent customer service skills, verbal and written communication along with an ability to manage multiple projects with the ability to adapt to new timely tasks is essential. Strong technology and troubleshooting skills including familiarity with office machines and software. Must have a positive attitude and sincere willingness to constantly learn and grow.
