A New Leaf is Hiring an Executive Assistant Near Mesa, AZ

The Executive Assistant to the CEO plays a pivotal role in ensuring the efficient functioning of the CEO's office within our nonprofit organization. This multifaceted position requires strong communication and organizational skills, along with the ability to handle a diverse range of responsibilities. The EA will be responsible for managing heavy communication and calendar commitments, facilitating seamless collaboration with various committees, and actively participating in board meetings. The role demands a high level of tech-savvy skills to manage digital communications and information effectively. Salary: $73,000.00 - $78,000.00 - (Depending on Experience)Schedule: Monday – Friday; 8am – 5pm (flexibility needed to attend monthly board meetings at 7:30am) Primary Responsibilities, but not limited to:Track the CEO’s responsibilities and duties to ensure that his time is effectively prioritized, and goals achieved.Track CEO commitments, goals, projects, tasks and deadlines.Ensure that items are effectively delegated, reprioritized, or addressed, and navigating conflicting demands and time pressure.Maintain the CEO’s calendar; attend select meetings, take notes, capture action items, and ensure follow through.Handle select matters expeditiously and proactively, follow-through to successful completion.Anticipate and address problems.Represent the CEO in internal and external communications:Provide a bridge for smooth communication between the CEO’s office and Board members, partners, staff, and others.Ensure that all stakeholders feel good about their interactions with you and the office of the CEO.Draft and edit correspondence that is often sensitive and confidential.Manage administrative and logistical issues:Maintain the CEO’s calendar.Arrange complex and detailed plans, itineraries, and agendas.Prepare Executive Board updates.Prepare expense reports.Support partner relationship development:Conduct research and analysis on potential partners.Follow up on contacts made by the CEO; support the cultivation of ongoing relationships.Track relationship developments (e.g. adding contacts, creating accounts, updating notes) Help key CEO meetings and teams – board and Leadership Team – to be effective.Confirm that attendees will be present and complete preparatory work, such as agendas and committee reports.Research and prepare select reports and materials.Secure offsite locations and support travel logistics as needed.Ensure compliance with bylaws; prepare minutes.Education & Experience:High School Diploma/GED required; Bachelor's degree preferred.Minimum five years’ experience supporting C-level executives.Demonstrated proactive approaches to problem-solving with strong decision-making capability.Expert-level verbal and written communication skills; emotional maturity.Highly resourceful team-player, with the ability to also be extremely effective independently.Proven ability to handle confidential information with discretion.Comfortable in a high performing, fast-paced and quickly growing organization; demonstrated ability to achieve high performance goals, meet deadlines and adapt to changing circumstances.Highly proficient with the Microsoft Office Suite, preferred experience with 365, and able to pick up other applications quickly.Requirements:Clean 39-month driving recordMust pass pre-employment drug testValid driver’s license with reliable transportationCurrent auto liability insuranceMust be at least 21 years of ageMust be able to obtain Class One Fingerprint Clearance Card immediately upon hire (if there are any uncertainties whether an applicant may have to go through an appeal process; they are encouraged to complete that process prior to applying as an invalid card will result in termination of employment)
