JOB SUMMARY: Provides litigation and general administrative support for the 21st Judicial District Attorney’s office and its various units.
EXAMPLE OF DUTIES
ESSENTIAL JOB FUNCTIONS: (The following duty statements are illustrative of the essential functions of the job and do not include other non-essential or marginal duties that may be required. Composes and types legal documents including standard and complex motions, orders, affidavits, petitions, complaints and Juvenile PTA’s / summons. Generates intake and exit paperwork, letters, memos, charts, reports or other correspondence. Establishes workload priorities in accordance with urgency of requestor for completed documents as well as receipt of emergency status items. Reviews cases to ascertain accurate records of the status of each case in preparing legal documents. Drafts standardized legal documents, forms, and correspondence upon request of supervisor or attorneys; carefully reviews cases for necessary dates and other information; notes questions on draft if uncertain regarding any aspect of content; returns to supervisor or attorney for review. Proofreads each document produced for errors in format, style, and/or typographical errors; makes corrections as necessary. Answers phone, takes messages, screens calls, provides information to callers, and directs calls and messages to appropriate person. Communicates with victims and/or witnesses in regards to subpoenas, court hearing information and meetings with Deputy District Attorney. Coordinates with Court Clerks and staff as appropriate; independently resolves questions or issues whenever possible; consults with supervisor or attorney for resolution of complex or unusual matters. E-files pleadings with the courts; Utilizes Action case management software and enters data on a daily basis to update case files. Independently sets court hearings with Court and other affected parties; carefully communicates dates of hearings to appropriate attorneys through individual attorneys' calendars; coordinates conference calls for setting hearings involving multiple parties. Organizes, creates and maintains legal files and filing system. Receives, opens, logs, and distributes incoming correspondence. Generates subpoenas and mails them or arranges for personal service. May review procedures used in the division; troubleshoot problems; make revisions. Oral and written communications must be clear and effective. Performs other related duties as assigned. Knowledge of: Current office technology and equipment including computers and related software, principles and procedures of customer service, records management and basic accounting practices, inventory control, English usage, spelling, grammar and punctuation, general mathematics, business writing and report preparation, and spreadsheet applications. Demonstrate professionalism, composure, and appropriate interpersonal skills during performance of tasks, duties and responsibilities that take place in this adversarial system. This adversarial system includes contentious dealings (in person, by phone, electronically, or by written correspondence) with opposing counsel, upset individuals that may be defendants, victims, witnesses, law enforcement, or other members of the public, often resulting in mental and physical stresses. Demonstrate professionalism, composure, and appropriate interpersonal skills in reviewing and/or discussing information pertaining to criminal cases. These criminal cases require frequent exposure to assaults and murders, including, but not limited to, physical assaults, verbal abuse, sexual assaults (upon adults and children), and child abuse. The discovery in the cases will also require frequent exposure to gruesome, disturbing, and/or sexually explicit photographs, images and recordings. If assigned to Juvenile Diversion, the duties may include the following: Generate and mail letters, Victim Impact Statements, restitution payments.Collects and records statistics, Assists with any assessmentsResponsible for data tracking and reporting to support Intervention Specialist.Supports Diversion Coordinators and Intervention Specialist with administrative and clerical duties. Creating timely notes/tasks regarding actions/information.Scheduling interviews/Reminders for appointments– by phone, by letter or email.Opening cases (fill out forms with juveniles/parents)- Information Sheet, Releases (3rd parties), ACTION work, Updates from community partners- Ideally, monthly/before meetings: Schools (scan release and contract to send to school); Counselors- referrals, secure permission/release from counselor to have parents sign, scan Updates re: attendance, progressing, cooperation.Partners- referral forms for UPS or classes, fees; Updates: UPS hours, payment of feesUAs/CJSD- Form for JV/family to obtain UAs, Document updates on UA.Create/assist with PDF fillable formsPerforms other related duties as assigned. If assigned to the Victim/Witness Division, the duties may include the following: Receive all incoming calls to VSU, clear understanding of the persons needs and where the call should be routedComplete critical event “call offs” dailyProcess all incoming mail to the Victim Witness UnitProcess daily video advisement paperwork and mailingsComplete tasks and mail out victim impact statementsComplete batch print critical event letters, satisfaction surveys and any requested information from a victimMaintain survey log for grant statistics.Assist Director of Victim Services and Victim Specialists with printing weekly dockets and schedulingAssist Victim Specialists in travel arrangements for trial (or other hearings)Maintain and manage petty cash (disbursements and audits), VALE Emergency Funds for victim servicesManages all mailings and brochures, trial cart supplies, lobby supplies and cleanliness of VSURun quarterly/yearly Action reports for grantsOral and written communications must be clear and effectiveMust possess problem solving and critical thinking skills and be able to multi taskPerforms other related duties as assigned by the Director of Victim Services
SUPPLEMENTAL INFORMATION
