Heat Treating Services Corp of America is Hiring an Administrative Assistant/Receptionist Near Pontiac, MI

Status: Full-time, 40 hours per week. Hours: 8am to 5pm, Monday through Friday. Some weekends may be necessary on occasion.

You will receive paid holidays after six months, and a paid time off (PTO) accrual based on hours worked. Not only can you request tuition reimbursement for yourself but we offer a paid Associate’s Degree at a local community college for up to two (2) of your children. Knowledge/Skills/Abilities: The most important qualifications the right individual will possess are a strong work ethic, professional demeanor, the ability to learn and execute new tasks quickly and efficiently, and the ability to handle sensitive information with the highest level of integrity and confidentiality. Communication between HRM & HRG & Assistant is important to keep the department flowing smoothly. Telephone contact in a pleasant, well-spoken, patient and respectful manner is critical. Customer contact on a regular basis is expected.

Also required:

· Excellent customer service skills

· Extremely organized and detail-oriented

· Excellent time management skills and must be able to prioritize numerous duties within strict deadlines

· Requires the ability to be flexible to deal with numerous interruptions.

· Excellent interpersonal skills that allow effective working relationships with a diverse customer, colleague, and vendor population. This includes listening, sales, and problem-solving skills.

· Good communication skills, both oral and written

· Ability to work independently and cooperatively

· Deadline and multi-task oriented

· Must have dependable transportation

Educational/Technical Requirements:

· High School Diploma required; Associates Degree or some college preferred.

· Typing Skills of at least 50 WPM with minimum errors.

· Computer software proficiency in Microsoft Office Products (Word, Excel, Power Point, etc.), data entry, and internet/email applications.

· Previous work experience with a minimum of one year as a receptionist, administration assistant or office assistant.

· Must have a car and a valid driver’s license.

Job Duties:

Daily:

· Indeed – Schedules interviews for HRG, monitors job postings and applicant tracking

· Telephone Answering and Front Window Responsibility.

· Faxes – distribute.

Weekly:

· Handing out application paperwork, checking for completeness.

· Orientations of New Hires, all Paper Work and Data Entry thereof.

· Temporary employee tracking of drug test results.

· Review & approval of Temporary Agency Invoices.

· Create, monitor and attach documents via Paycom, when applicable.

· Ensures PDM’s are distributed according to timeline and followed through to the employees’ file.

· Scheduling hardness training.

· Monitoring/Updating Mentor List and posting.

· Maintain and Post Expiration Reports (FT, Temp FT, Aerial Lift)

· Filing in Employee Personnel Files (Hourly)

Monthly

· Monitor Temp Fork Truck Certifications

· Follow Up Comments – Employee PDM preparation, etc.

· Coffee/juice ordering.

· Office Supply ordering

Bi-monthly:

· Schedule Benefit Meetings for HRG/HRM.

As Needed:

· Prep for General Meeting; reports/announcements.

· Update and Print Compliance Posters – Every 6 months

· Lunch Order – Plant 3 South visit only.

· Office Equipment maintenance – Call vendor when required

· Key Control: Ensuring employees sign for keys, making copies, and updating all 3 key boxes.

· Terminating employee files.

· Scheduling Upgrader tests and monitoring thereof.

· Replenishing furnace operator manuals; ordering binders and copying manuals

· Update and Post Injuries; monitoring return to work.

· Entering Employee Performance Counseling Reports of all kinds; follow up for training.

· Employment Verification Requests/Calls/Letters.

· And all other related duties.
