Summary: We are seeking an Executive Assistant to perform various office duties

Job Title: Executive Assistant

Location: Menands, NY 12204

Target Work Schedule: Monday to Friday 9:00AM-5:00PM

Target Duration/End Date: June 2026

Description of Roles and Responsibilities:

· Routine administrative functions including prioritizing multiple assignments, scheduling meetings, and conference calls; maintaining electronic schedules/calendars, and various tracking systems; answering telephone calls, typing correspondence, and ordering office supplies

· Providing high level administrative support for project-specific workgroups, including taking notes and compiling minutes, synthesizing information, and preparing reports.

· Monitoring shared email inboxes for incoming correspondence, verifying the accuracy of information provided, referring inquiries to appropriate staff for processing, and following up as necessary to ensure a timely response

· Completing special assignments and other necessary administrative functions as assigned

· Proficiency with Microsoft Office software, including but not limited to, Outlook, Word and Excel

Mandatory/Minimum Qualification, Skills, Experience Requirements:

Associate or Bachelor's degree preferred. And at least two years of relevant experience

Qualification, Skills, Experience Requirements:

· AutoCAD

· Adobe Suite (Acrobat Pro, Photoshop, InDesign)

· Able to work under existing, as well as help create new, project schedules and plans

· Ability to shift between working independently and setting internal goals, to working closely with a small team

· Proofreading skills

· Must have good time management skills

· Detail-oriented, organized

· Able to catch errors/inconsistent/ incomplete work, proofread work

· Able to manage a large volume of electronic files without commingling files

· Must be able to work quickly and accurately

· Able to follow office policy and procedure

· Analytic and critical thinking skills

· Able to rename PDF files, drag and drop files in folders, copy and paste files into folders, create folders, edit template emails, double checks work, ask questions when clarification is needed

· Must be proficient in Microsoft Word, Microsoft Excel, and Microsoft Outlook

Preferred Qualifications:

· Previous experience working for a Federally funded nutrition program, such as WIC

· Experience working in a fast-paced office setting, conducting a wide range of administrative tasks to support program operations

· Experience working in a government setting

· Proficiency with Microsoft Office SharePoint and PowerPoint, and WebEx
