We are seeking a highly organized and detail-oriented individual to join our team as a Receptionist/Administrative Assistant. In this role, you will be responsible for providing administrative support and ensuring the smooth operation of our front desk. The ideal candidate will have excellent communication skills, strong multitasking abilities, and a customer service-oriented mindset.
Duties:
- Greet and welcome visitors in a professional and friendly manner
- Answer and direct phone calls, taking messages as necessary
- Manage the reception area, ensuring it is clean and organized
- Schedule appointments and maintain calendars for staff members
- Perform general clerical duties, such as photocopying, scanning, and filing
- Assist with order entry and inventory management
- Coordinate meetings and conference room bookings
- Provide administrative support to various departments as needed
- Handle incoming and outgoing mail and packages
Skills:
- Strong administrative skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Experience working at a front desk or in an office setting preferred
- Excellent typing skills with the ability to type accurately and efficiently
- Familiarity with phone systems and ability to handle multiple phone lines
- Exceptional customer service skills with a friendly and professional demeanor
- Ability to prioritize tasks and manage time effectively
- Strong attention to detail and organizational abilities
- Previous experience as a personal assistant or medical receptionist is a plus
