We are searching for an experienced Special Assistant to the Chief of Staff at our Arapahoe Campus facility.

Position Title: Special Assistant to the Chief of Staff

Reports to: Chief of Staff
FLSA Classification: Exempt/Salaried
FTE: 100% (40 hrs/week)
Compensation: $58,200 - $67,000 based on prior experience


Job Summary

The Special Assistant to the Chief of Staff plays a pivotal role in ensuring the smooth functioning of the office and supporting the chief of staff and operational leaders. This position involves overseeing and directing daily operations, completing administrative tasks, and serving as a primary point of contact for the chief of staff. Additionally, the role encompasses project management, including tracking and managing initiatives, scheduling meetings, and analyzing tasks to ensure timely completion. Communication and liaison activities are also central to the position, involving facilitation of internal and external communication and arranging appointments. Furthermore, the Special Assistant is responsible for coaching and consulting around JEDI and restorative issues, while also facilitating high-level restorative conversations as requested by the Chief of Staff or operational leaders. Expected to work 4 days a week on site, with flexibility as discussed with the supervisor.

Job Duties & Responsibilities
  • Restorative and JEDI: Offer coaching and consulting around JEDI issues and restorative practices. Create ever-green training around these topics. Facilitate high- level restorative conversations for departments and cohorts as requested.
  • Administrative Support: Overseeing and directing daily operations, completing administrative duties, and serving as a point of contact for the chief of staff. This includes updating chief of staff, filing contracts with outside vendors, analyzing emergent issues and bringing them to Chief of Staff’s attention. This also means utilizing and updating project management software.
  • Project Management: Tracking and managing initiatives, scheduling meetings, and analyzing tasks and projects to ensure completion by deadlines.
  • Communication and Liaison: Facilitating communication and liaison activities for the chief of staff and the executive leadership team, composing internal and external messages, and arranging appointments.
  • Problem Solving and Decision Making: Identifying, addressing, and resolving operational and strategic issues, as well as troubleshooting, fact-finding, and investigating areas of special interest to the chief of staff.
  • Policy and Programmatic Support: Providing advice on strategic planning, operations, policy, and programmatic issues, and implementing strategic priorities on controversial matters with policy and programmatic impact.
  • Optimizing Organizational Procedures: Working to improve current processes and optimize organizational procedures for efficiency and productivity.
  • Strategic Thought Partner: Acting as a strategic thought partner, confidante, and sounding board for the chief of staff.

Educational requirement: Master's Degree in applicable Major (Education, Business, Higher Education Administration)
Minimum length of prior applicable professional experience required:
  • 3-5 years.

5 years of special projects management, executive-level administrative assistance, event planning, and experience in creating and/or facilitating inclusive community-building.

  • Strategic Planning and Execution: Developing comprehensive plans aligned with organizational vision and goals, translating objectives into actionable steps, and overseeing their execution.
  • Operational Proficiency: Managing processes, resource allocation, workflow, change management, and agile methodologies to drive effective transformation.
  • Project Management: Tracking initiatives, scheduling meetings, analyzing tasks for timely completion, and managing projects effectively.
  • Time Management: Managing complex scheduling, optimizing time allocation, prioritizing projects.
  • Technology Skills: Proficiency in utilizing project management tools, digital platforms for calendar and email management (i.e Teams, Office 365), and troubleshooting technical issues or willingness/ability to learn.
Soft Skills:
  • Effective Communication: Clear articulation of ideas, active listening, empathy, fostering strong relationships across departments and stakeholders.
  • Emotional Intelligence: Understanding diverse perspectives, resolving conflicts, negotiation skills, and managing stakeholder relationships effectively.
  • Professional Discretion: Maintaining confidentiality of sensitive information and building trust through discretion.
  • Smart Multitasking: Prioritizing tasks efficiently, focusing on high-priority duties first, and managing multiple responsibilities effectively

A comprehensive benefits package is available to full-time employees who work a minimum of 30 hours each week. Employees who work 20 – 29 hours each week are eligible for only the employer-paid short-term & long-term disability, employer-paid life insurance & accidental death and dismemberment, and the retirement plan, which includes up to 2.5% employer matching.
Employees who work fewer than 20 hours per week are eligible to participate in Naropa’s retirement plan only, which includes up to 2.5% employer matching.
All regular full-time and part-time faculty and staff, including student workers, accrue sick leave benefits. Full-time and part-time staff positions accrue vacation and personal time. All leave accrual rates vary based on the position, hours worked, and years of service.
