We are searching for an experienced GSCP Graduate Academic Advisor-CPBP at our Nalanda Campus facility.

Job Summary
GSCP Graduate Academic Advisor-CPBP Counseling position provides advising support for applicants, current students, faculty and staff in the CPBP Counseling program and the goals of GSCP and Naropa University broadly. The GSCP Graduate Academic Advisor-CPBP Counseling is often the primary contact for new and current students and is critical to student success, retention, persistence and graduation. GSCP Graduate Academic Advisor-CPBP duties include, direct academic support for CPBP students, faculty and the program through active and meaningful engagement; administrative duties related to students’ professional needs and tasks identified by the CPBP Chair, GSCP and Academic Affairs staff. Duties include but are not limited to graduate student orientation and program entry, academic course advising/planning, professional support and referrals for personal students’ concerns, practicum and internship placement readiness and paperwork, and administrative tasks (student outreach and communication, data collection as directed by the CPBP Chair in support of program goals.
Job Duties & Responsibilities
Advising:

  • Create and maintain a positive and professional team environment.
  • Communicate and uphold CPBP, GSCP and Naropa University policies.
  • Provide academic and program advising, guidance and support for current and LOA students (80-110 students) regarding their academic program, program related policies, membership in the Naropa/CPBP community, and preparation towards becoming a professional counselor.
  • Hold weekly office hours to meet with students regularly in-person, by phone, online or via email.
  • Advocate for and guide students. Answer questions, both personal and professional and, where appropriate, offer referrals.
  • Handle all student requests including leave of absence, withdrawal (from course or University), independent study, incompletes, exceptions to policy, and transfer credits.
  • Handle all graduation procedures and forms, including degree audit and clearance.
  • Respond to student and faculty inquiries in a timely manner.
  • Maintain familiarity with curriculum course sequences, including tracking changes to the curriculum.
  • Be familiar with CACREP accreditation standards. Answer students’ inquiries related to these requirements and where necessary direct student questions to the appropriate CPBP or GSCP faculty.
  • Communicate with prospective students. Answer questions about the CPBP program, GSCP, Naropa University, and Boulder and surrounding areas.
  • Respond to new and continuing students’ inquiries including: moving newly admitted students from admitted to deposited and ultimately to enrolled; communicate and guide course registration, orientation, program expectations; for current students, assist with registration, questions about coursework including practicum and internship readiness, clearance and paperwork; orientation to CPBP course and program expectations
  • Meet and communicate with accepted students for initial advising sessions regarding plan of study and readiness for the program
  • Support incoming students during the summer leading up to their entering fall semester. This includes working with the admissions department and program chair regarding necessary email communications of department welcome, course registration and scheduling, and orientation events.
  • Organize and facilitate group advising sessions each semester for each cohort. This includes and is not limited to sessions focused on program requirements; clinical placement orientations, tracking degree requirements; clearance processes and support utilizing the Professional Counselor Competency Evaluation; cohort development and support.
  • Schedule and conduct student meetings as needed in the pre-registration period; review students’ academic planning/progress, provide guidance for selecting and sequencing courses, monitor program requirements, and assist in the registration process.
  • Give registration and graduation clearances and help to evaluate students’ progress and preparedness for working as a professional counselor.
  • Meet one-on-one with all first- and second-year students to review clinical placement clearance applications.
  • Maintain student files and required student data/forms and assure the accuracy of student transcripts.
  • In collaboration with program faculty, ensure each student is meeting the degree requirements throughout their academic journey.
  • Act as a liaison between students and faculty and help both parties navigate student concerns and issues.
  • Should students’ behavior warrant intervention, collaborate with the CPBP faculty colleagues regarding the process, policies and documentation. This includes negotiating the logistics by setting up meetings, tracking, and holding students accountable to requirements by faculty in the review process.
  • Work with Student Administrative Services in relation to specific student situations (e.g. LOAs, withdrawals, registration, curriculum requirements, Office of Accessibility, MCIC, exceptions to university policy, financial aid).
  • In consultation with the CPBP Chair, advocate for students at the university level where necessary.
  • Collaborate with the Office of Career and Life to facilitate students’ awareness and participation in internship/practicum related networking events – including practicum and internship fair.
  • In coordination with the Office of Career and Life, assist interested students in designing and developing a realistic post-graduate career plan that considers their goals as well as their unique stage of professional identity development, particularly in relation to choosing a clinical placement site for practicum and internship.
  • Manage alumni lists and correspondence with program alumni.

Administrative:
Program operations:

  • Participate in academic program meetings (weekly CPBP administration meetings and bi-weekly CPBP Curriculum Committee meetings) as a member of the CPBP team including decision making and starting in the second semester of employment, facilitate the administration meetings.
  • Schedule and facilitate CPBP Student Advisory Committee meetings.
  • Coordinate and participate in department events.
  • Act as a liaison for Student Administrative Services, Dean of Students Office, Financial Aid, Office of Accessibility, Admissions, Career and Life Development, and Faculty.
  • In collaboration with program chair, Involvement and support in CPBP admissions process, including serve as liaison with Admissions, communicating with potential interviewers (i.e. current faculty, CSPs, and/or alumni), supporting organization of interview day preparation and processes.
  • Work as a team with CPBP faculty, and attend Advisor, CPBP, and GSCP meetings as required.
  • Attend GSCP meetings.
  • Assist the faculty with departmental projects as needed.
  • Work with Microsoft Office, including Word, Excel, and Outlook, to schedule meetings, work with data, and communicate with faculty and staff.

Curriculum:

  • Maintain familiarity with curriculum course sequences, including tracking changes to the curriculum
  • Work with CPBP faculty and GSCP staff to coordinate the CPBP course schedule.
  • Support leadership team in curriculum decisions and changes.
  • Provide input on curriculum development so that students are accurately prepared for internship
  • Assist and support the CPBP Chair in administrative and coordination of the team as required, e.g., reviewing CNSC course enrollment, course caps and scheduling sequence
oUnderstand how CPBP functions with regard to GSCP courses, and work with the GSCP faculty and staff during the course scheduling process to ensure the needs of CPBP students are identified and met.

Policies and Procedures:

  • Be familiar with university, school, and concentration policies, forms, and procedures including the Naropa course catalog, GSCP Student Guidebook, Practicum and Internship manuals, Naropa Student Handbook and MyNaropa registration system
  • Help evaluate, develop and write policy related to program requirements.
  • Work with feedback from CPBP Chair and faculty to update the Student Guidebook.
  • Identify problems impacting retention and students’ personal experience at Naropa. Respond in a timely manner and appropriately to student emergencies and concerns, and communicate/collaborate with appropriate university resources as needed
  • Engage in the academic and or conduct related student review processes. Should a student issue call for intervention, collaborate with the CPBP Chair and appropriate faculty and staff regarding the process, procedures and actions that support appropriate feedback, action and resolution. Aid the CPBP Chair in logistics e.g., setting up meetings, tracking, and holding students accountable to requirements identified by the CPBP faculty, GSCP and or the University.

Clinical placement:

  • Participate in and provide support for site supervisor trainings.
  • Serve as the point person for difficulties that develop with students or internship/practicum sites; work in collaboration with GSCP Clinical Placement Coordinator and/or CPBP Clinical Instructor to handle concerns/difficulties that arise between students and site supervisors.
  • Work in collaboration with CPBP Clinical Placement Team and GSCP Licensing and Credentialing Specialist to collect and maintain paperwork from internship/practicum sites and students including confirmation forms, student evaluation forms, timesheets, grades and liability insurance verification.
  • Oversee the clearance processes for students applying to internship/practicum and coordinate input from faculty.
  • In collaboration with the Office of Career and Life and program faculty, oversee placement of students in internship/practicum sites.
  • Meet as needed with CPBP faculty in support of clinical placements.
  • Provide input on the ongoing development of GSCP policies and procedures for clinical placement.
  • In collaboration with faculty, develop necessary contracts/supports with students assigned remedial work to improve skills prior to internship.
  • Serve as the point person for students when difficulties develop at clinical placement.
  • Track each student’s progress by collecting end-of-semester hour forms.
  • Liaise with the program faculty supervisor teams in CNSC 871 and 891 to provide administrative support, serve as a point person, and respond to, then direct internship supervision group issues/questions to the CPBP Chair.
  • Organize clinical tutor/supervisor team meetings three times each year.
  • Oversee the evaluation process for students applying to internship/practicum and coordinate input from faculty.
  • Provide input on curriculum development so that students are accurately prepared for internship.

Admissions:

  • Work with CPBP Chair to schedule and conduct admissions interviews.
  • Coordinate with the Admissions team on behalf of the CPBP Chair and students

Student journey:

  • In collaboration with the program chair, organize, coordinate and lead the new student orientation weekend, which includes seminars, group meetings, and specialized departmental events.
  • Maintain CPBP student files and student data and assure the accuracy of student transcripts.
  • Understand curriculum sequence and changes to the curriculum and initiating related work flow with scheduler, program chair, and the registrar.
  • Handle all graduation procedures and forms, including degree audit and departmental clearance
  • Oversee exit interview process, compile and distribute feedback from graduating and terminating students’ exit interviews.
  • Act as the liaison for Student Administrative Services, Financial Aid, Office of Accessibility, Student Advisory Committee, Undergraduate Advisors, Admissions, Clinical Placement Coordinators, and CPBP Faculty
  • Have a consistent presence in the CPBP office, maintain an open-door policy and hold regular weekly office hours to meet with students in-person, online, by phone, or via email.
  • Handle exceptions to University and MACPBP Departmental policies.
  • Oversee registration process each semester, and troubleshoot issues with and assist students in the completion of the registration process and choosing options and courses in CPBP, other Naropa University programs, and other universities.
  • Provide guidance and resources for personal issues that arise while in the program. Advocate for students and answer a wide range of questions, both personal and professional including offering appropriate referrals.
  • Identify problems impacting retention and students’ personal experience at Naropa. Respond quickly and appropriately to student emergencies and concerns, and communicate/collaborate with appropriate university resources as needed.
  • Engage in the student review process. Should a student issue call for intervention, collaborate with the CPBP Chair and appropriate faculty and staff regarding the process, procedures and actions that support appropriate feedback, action and resolution. Aid the CPBP Chair in logistics e.g., setting up meetings, tracking, and holding students accountable to requirements identified by the faculty, GSCP and or the University
