JOB OVERVIEW

We are looking for an experienced Executive Administrative Assistant to support our executive team, ensuring the seamless execution of administrative duties with high confidentiality, tact, and diplomacy. The role requires outstanding organizational skills and proficiency in managing extensive meeting schedules including larger scale offsite functions. The ideal candidate will be adept at handling a wide range of administrative and executive support tasks, and able to work independently with little or no supervision.

RESPONSIBILITIES AND DUTIES

  • Serve as a liaison between executives and other stakeholders, facilitating smooth communication and ensuring timely follow-up on the status of various assignments.
  • Manage complex calendars, coordinate meetings, and arrange travel, utilizing a thorough understanding of meeting planning and execution.
  • Provide logistical support for projects and events, including coordination of agendas, presentations, and venue arrangements, particularly for large-scale corporate events.
  • Attend critical meetings, either in-person or virtually, providing necessary administrative support such as documentation, preparation of materials, and summarizing outcomes.
  • Handle confidential and proprietary information with the utmost discretion.
  • Respond to internal and external inquiries, resolving issues where appropriate and directing queries to the relevant departments as necessary.
  • Track and report on departmental budgets, including expenses related to travel and events, and monitor variances.
  • Act as a department coordinator, managing processes, schedules, and preparation for all-team meetings, leadership meetings, and strategic planning sessions.
  • Maintain accountability for project completion by working closely with key stakeholders to define deliverables and incorporate realistic timelines.

QUALIFICATIONS

  • Bachelor’s degree or equivalent professional experience.
  • A minimum of 4 years’ experience in an executive support role.
  • Certified Meeting Professional (CMP) preferred or significant experience in meeting planning.
  • Strong command of Microsoft Office Suite, particularly Outlook, PowerPoint, Excel, and OneNote.
  • Excellent communication skills, both written and verbal.
  • Demonstrated ability to think critically and solve problems in a dynamic, fast-paced environment.
  • Proactive, with the ability to anticipate needs and provide solutions before they are required.
  • Experience in handling a wide range of administrative and executive support related tasks, working independently with no supervision.

REQUIRED SOFTWARE EXPERIENCE

  • Highly experienced in Microsoft applications (Outlook calendar management, email, PowerPoint, Excel, One Note etc.)
