- Provides high-level administrative support and assistance to multiple senior executives.
- Performs clerical and administrative tasks, including drafting letters, paying invoices, running reports, transcription, or creating documents for multiple executives.
- Answers and transfers phone calls, screening when necessary. Data entry, tracking, and preparing documents.
- Coordinates and submits expense reports, prepares check requests and invoices for payment, travel reimbursement, and documenting corporate credit card expenses.
- Assists with due date management and renewal processing of professional designations and industry membership subscriptions.
- Assist with the creation and editing of presentation materials.
- Maintains filing systems and records as assigned, including the arrangement of files for long-term storage or retrieving files from long-term storage.
- Retrieves information as requested from records, emails, minutes, and other related documents; prepares written summaries of data when needed.
- Assists with proofreading documents for errors and makes corrections.
- Responds to and resolves administrative inquiries and questions.
- Maintains executive calendars and coordinates and schedules travel, catering, meetings, and appointments for executives.
- Prepares agendas and schedules for meetings, including notetaking during meetings.
- Records and distributes minutes or other records for meetings.
- Maintains office supplies and coordinates maintenance of office equipment.
- Performs other related duties as assigned.
Requirements
- 4-7 years experience supporting C-suite executives with a preference for candidates who have supported executive team members.
- Bachelor's degree or equivalent experience.
- Comfort with contract terminology and legal writing preferred.
- Experience handling sensitive or confidential information.
- Excellent interpersonal and customer service skills.
- Ability to function well in a high-paced and, at times, stressful environment.
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
- Excellent intellectual, intuitive, social, oral, and written communication skills.
- Possesses discretion and sound judgment and is able to maintain confidentiality.
- Advanced MS Office Suite, calendaring, video conferencing software, and office equipment skills.
- Experience working with board members and various external stakeholders.
- Exceptional planning, prioritizing, time management, and organizational skills.
- Experience using, managing, and organizing a board member information portal. (i.e. Directors Desk)
This position has a starting pay range of $62,800 - $80,200 based on various factors, including education and years of experience.
