As an Executive Assistant II, you are responsible for managing the administrative functions and day-to-day operation for the Executive Vice President for the Technology & Operations organization. The primary functions involve managing the Executive's calendar, handling confidential and sensitive information, preparing correspondence and reports, interacting with department staff on Executive's behalf, receiving visitors with diplomacy, making travel and meeting arrangements, leadership oversight of the administration team, and assisting in preparation and monitoring of the departmental expenses.
What you’ll do:
- Manages Executive's calendar and organizes activities internally and externally, keeps Executive apprised of meeting dates and appointments, independently prepares related materials and makes travel arrangements
- Screens incoming calls, visitors, correspondence, and mail to determine appropriate routing and scheduling; uses discretion to establish sensitivity and necessity to convey details; reviews industry periodicals for importance or interest to the Executive and/or associates
- Monitors and maintains expense reports for CTOO and his leadership team activities
- Completes special projects or assignments and performs other duties as required by the Executive
- Coordinates logistics of onsite meetings and events for the CTOO and CTOO Leadership Team to include room reservations, catering orders, travel, escorting of guests, supplies and other duties as requested.
- Captures and transcribes meeting notes and minutes as needed with documentation of action items for CTOO Leadership team.
- Serves as designee for the Executive's approval of specified items
- Provides direction and serves as a leader to Technology & Operations administrative community as necessary. Liaison between CTOO leadership team and Technology & Operations administrative community.
What you’ll bring:
- Associate degree or two (2) years' work experience (required).
- Five (5) years’ experience as an Administrative or Executive Assistant supporting top level executives (required).
- Experience in planning and coordinating meetings from inception to completion
- Skill operating a computer in a Windows environment utilizing Power Point, Visio, Adobe Acrobat, and Access depending on needs of assignment
- Ability to interact effectively with employees and management at all levels
- Demonstrated ability to exercise judgment to handle sensitive and confidential information in a discrete and professional manner
- Effective multitasking skills while maintaining strong attention to detail and meeting deadlines
- Experience in budget preparations and cost estimates

The pay for this role will vary based on a range of factors including, but not limited to, a candidate’s geographic location, market conditions, and specific skills and experience.
National Salary Range:
$67,800.00 - $98,400.00
National Plus Salary Range:
$67,800.00 - $112,200.00
- National Plus salary range is used in higher cost of labor markets including Western Washington and Alaska.
