EXECUTIVE ASSISTANT/OFFICE ADMINISTRATOR (Bi-Lingual, Japanese & English)
JOB SUMMARY
Will perform a wide variety of administrative tasks in support of company executives, staff and building and office operations. This is an on-site position at SNBL USA’s Everett, WA location. May involve some evening and weekend work.
JOB DUTIES/RESPONSIBILITIES
· Will perform a wide variety of administrative tasks in support SNBL USA’s Everett, WA location.
· Provide general administrative support to: executives and staff from parent company in Japan; onsite staff; and visitors from affiliated and investment portfolio companies.
· Will serve as a point of contact with facility management company responsible for overseeing major construction and building renovation projects in Everett, WA.
· Manage calendars including scheduling appointments, meetings, and conferences.
· Coordinate international and domestic travel arrangements and prepare detailed itineraries for executives, colleagues and visitors from Japan.
· Provide meeting support and coordination including agendas, materials, minutes (if needed) and follow up as necessary.
· Prepare and edit correspondence, reports and presentations.
· Assist with event planning and coordination, as needed.
· Greet visitors. Host guests from Japan. Make arrangements for dining, sightseeing, etc.
· Coordinate conference room schedules, order office supplies and perform other functions in support of Everett, WA location.
· Develop and maintain professional relationships and establish credibility with colleagues at Japan headquarters and in the U.S.
· Proactively looks for and recommends ways to streamline processes and gain efficiencies.
· Handle confidential information with discretion.
· Complete monthly company credit card reconciliations and expense reports.
· Proactively takes on projects and other duties as assigned, to add value and create efficiencies in the day-to-day operations of the Everett, WA office.

PERSONAL CHARACTERISTICS
REQUIRED QUALIFICATIONS
· A Bachelor’s Degree in Business Administration or related field is preferred, but not required
· At least 5-8 years of experience performing a wide variety of administrative support tasks to executives, staff and visitors
· Ability to read, speak and understand Japanese fluently is required
· Deep understanding of Japanese and American business cultures, norms and customs
· Prior experience living in Japan is highly desirable
· Proficient in using Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
· Strong organizational skills
· Strong attention to detail and a high level of accuracy
· Proactive problem-solving abilities
· Equivalent education and experience may substitute for stated requirements
SALARY RANGE: $70,000 – 110,000
