Beesley Animal Foundation is Hiring a Bookkeeper/Administrative Assistant Near Murfreesboro, TN


The Beesley Animal Foundation, a nonprofit organization in MURFREESBORO, TN is seeking an experienced, detailed and enthusiastic BOOKKEEPER/ADMINISTRATIVE ASSISTANT to join our non-profit organization. This is a part-time, in-person role, starting at 16-20 hours per week. The regular weekly schedule for this position is very flexible during a Monday – Thursday work week. The bookkeeper/administrative assistance will work closely with the Executive Director and have a vital role in ensuring efficient operation of our organization by supporting a variety of administrative and financial tasks. This is a great opportunity to be a part of an organization that is committed to animal welfare in our community with a focus on reducing pet overpopulation and keeping animals healthy and in their homes. Since 1980, Beesley Animal Foundation has provided support and education to the community in promoting responsible pet ownership and stopping pet overpopulation through our 5 main programs; 1) Beesley Animal Clinic; 2) Education; 3) Financial Assistance for BAC services; 4) Community Outreach and 5) The Oliver Pet Assistance Fund.

Key Responsibilities:

Financial Management:

  •  Maintain accurate and up-to-date financials records using QuickBooks in accordance with accounting principles and nonprofit regulations.
  • Process day-to-day financial transactions, including accounts payable and receivable, credit card reconciliations, and expense reimbursements.
  • Prepare monthly financial reports for internal analysis and external reporting requirements.
  • Maintain accurate records and documentation in compliance with organizational policies and procedures.
  • Assist in financial audits and grant reporting as needed.

Administrative Support:

  • Manage office supplies, office equipment, and facilities to ensure a productive work environment.
  • Light cleaning duties including emptying waste bins, recycle bins, and tidying up the shared clinic/office space as needed.
  • Help coordinate for all clinic/office maintenance and facility’s needs.
  • Provide direct support to the Executive Director

Communications/Donor Support:

  • Provide data entry and administrative support to the Grant and Marketing Administrator.
  •  Maintain accurate records of donor contributions. Help support the generation of acknowledgements and receipts for donations and assist with donor reporting and communication as needed. 
  • Assist in the coordination of events and meetings, including logistical arrangements and preparation of materials as needed.

The desired candidate MUST:

  • Have proven experience in bookkeeping or accounting, preferably within a nonprofit organization.
  • Be proficient with QuickBooks, Microsoft Office Suite, and Adobe PDF.
  • Have an understanding of nonprofit accounting principles, regulations, and compliance requirements.
  • Possess strong organizational skills and ability to prioritize tasks effectively.
  • Effectively communicate, both written and verbal.
  • Demonstrate ability to work independently and collaboratively as part of a team.
  • High ethical standards and commitment to maintaining confidentiality.
  • Demonstrate a commitment to Beesley Animal Foundation's mission and values.
  • Possess excellent attention to detail and accuracy in financial record keeping.

 Educational Requirements:

· High school diploma or equivalent required, Accounting Degree a PLUS

· Bookkeeping/accounting experience – 2 years
