Description

*This position is full-time, 40 hours per week M-F, non-exempt; starting between $20.20 to $22.72 per hour.

Provides vital administrative support for the Water of Life Preschool Upland Campus to ensure an efficient daily operation of the Preschool. Key responsibilities include managing phone calls and emails, overseeing calendars, scheduling tours for new families, coordinating staff meetings and events, and maintaining student enrollment records. Additionally, this role involves ordering supplies and food, offering technical assistance for computers and printers, and creating and distributing monthly newsletters. The Preschool Administrative Assistant works closely with the Preschool Administrator and Site Director, assisting them in various clerical and administrative tasks as needed to promote a positive and nurturing environment for students and staff.

Administrative Support: Manage schedules, assist in planning meetings and events, including organizing all logistical needs for events or meetings. Answer emails and phone calls, maintain and update calendars, and oversee filing systems. Coordinate the ordering of materials and supplies. Receive and distribute incoming mail, as well as manage updates to classroom rosters, LIC Child roster, and classroom emergency books. Maintain records of sign-in/out and attendance sheets. Coordinate with catering company to confirm snack/lunch menus, and record snack/lunch counts. Collaborate with the Preschool Administrator and the Accounting Department to manage accounts payable and receivable.

New Students/Families: Respond to inquiries about the preschool program and provide information to potential students and families. Schedule tours for prospective students and families with the Preschool Administrator. Partner with Site Director on the preschool wait list and new student enrollment. Process registrations, create new student files, maintain checklists, and inform teachers of new student arrivals. Foster relationships with new families and provide ongoing support.

Act as the interim Site Director during their absence, ensuring smooth operations and effective communication between staff and parents. Perform end-of-day closing procedures, including: confirming that all students have been picked up and safely handed over to their parents/guardians; combining classes as necessary to maintain appropriate student-to-teacher ratios; conducting a final walk-through of the facility to ensure all areas are secure and properly locked. Assist in managing any emergency situations or unexpected incidents that may arise during the Site Director's absence, following established policies and procedures. Provide classroom coverage on a short-term basis as needed, stepping in to ensure a safe and nurturing environment for students while maintaining compliance with required staff-to-student ratios.

Staff Support: Offer technical assistance for computers and printers to staff members. Assist with curriculum needs as time permits, and ensure the school allergy list is updated and communicated to staff. Provide additional support to staff in various areas as needed to ensure the smooth functioning of the preschool program.

Participate in “All-In” events, Spiritual Growth Checklist, etc. Other duties as assigned.

Qualifications


  • High school diploma or equivalent; an Associate's degree in a relevant field (such as Business Administration, Office Management, or Early Childhood Education) is preferred.
  • A minimum of 12 Early Childhood Education (ECE) units in core classes is required; 24 ECE units with a minimum of 3 ECE Administration units are preferred.
  • A minimum of 2-3 years of experience in an administrative support role, preferably in an educational or childcare setting.
  • Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook), Google Drive, Publisher, database programs (e.g., RenWeb) and experience with using email communication tools.
  • Excellent written, editorial and verbal communication skills, with the ability to effectively interact with diverse groups of people, including families, staff, and administrators.
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple responsibilities simultaneously.
  • Strong attention to detail.
  • A basic understanding of preschool operations and familiarity with relevant regulations and best practices in early childhood education is a plus.
