Job Description

Benefits Specialist

The Benefits Specialist supports the Yorktown Systems Group, Inc. (YSG) Human Resource Department as directed by the Director of Human Resources. This position responsible for assisting with the administration of all employee benefits and retirement programs, including, but not limited to, medical, dental, vision, life insurance, disability and 401(k). This position is a member of the Human Resources team and works closely in Human Resource functions and duties. This position is a full time, exempt, intermediate level position with the opportunity to work remotely.

Duties and Responsibilities:

  • Perform accurate and timely maintenance of employee benefit records to include transactions related to onboarding, offboarding, transfers, class and/or compensation changes, open enrollment, and other required data entry transactions in the benefit module of the Human Resource Information System (HRIS) and/or vendor portals.

  • Monitor employee status changes for eligibility and benefit changes to ensure paycheck accuracy based on enrollment elections.

  • Administrate a variety employee health and welfare plans, including medical, dental, vision and supplementary insurance options.

  • Research and address benefit-related questions from employees, sites, and other human resource team members.

  • Under the direction of the Director or Human Resources, support the benefit renewal process in preparation for open enrollment activities.

  • Collect, analyze, and summarize benefit data, trends, surveys, and renewal reports for management.

  • Work collaboratively with other departments to ensure proper administration/processing of benefits in accordance with Plan documents.

  • Conduct various audits to reconcile benefit entries and vendor invoices and to ensure accuracy of work.

  • Support benefits administration for new contract awards, contract renewals, or contract changes.

  • Assist in the drafting of company-wide announcements, benefit guides and other internal benefit related communications.

  • Manages Affordable Care Act (ACA) process and ensures timely distribution and annual filing of 1095 forms.

  • Handles COBRA administration to ensure timely distribution of information.

  • Complies with the Internal Revenue Service (IRS), Department of Labor (DOL), Affordable Care Act (ACA), Employee Retirement Income Security Act of 1974 (ERISA), Consolidated Omnibus Budget Reconciliation Act (COBRA), and Health Insurance Portability and Accountability Act of 1996 (HIPAA) regulation standards as it relates to benefits administration.

  • Remains current with changes in best practices and regulations applicable to the role.

  • Other duties as assigned.

Job Requirements

Required Qualifications:

  • Bachelor’s degree in Human Resources Management or related field and three years’ professional benefit administration experience; or

  • Five years’ professional benefit administration experience.

  • Advanced skills in Microsoft Office Word, PowerPoint, Excel, and Adobe Acrobat.

  • Experience with HRIS administration.

  • Strong organizational and time management skills.

  • Strong interpersonal and proactive communication skills.

  • Outstanding written and verbal communication skills.

Preferred Qualifications:

  • Advanced competency of Costpoint or other HRIS application.

  • Experience with Service Contract Act and Unions.

  • Experience with Deltek Costpoint, or other Deltek modules.

  • Professional Certification relevant to Human Resources or Benefit Administration (e.g., SHRM, HRCI).

Clearance:

  • Must pass a National Background Screening.

Travel:

  • Limited travel may be required.
