Wpromote is Hiring an Office Manager (Part-Time) Near Los Angeles, CA

The Role

We are seeking to hire a Part-Time Office Assistant in our El Segundo office. This role is an ambassador to Wpromote culture, supports employee experience and engagement through culture and wellness initiatives, and partners with Employee Resource Groups (ERGs). You are the face of the El Segundo office, the first point of contact, and will interact with visitors, clients, vendors, and employees at every level, every day. We are a hybrid, remote-first company with a small group of employees, including our C-Team, coming into the office consistently. The Office Assistant will report directly to our Senior Director of People Operations

You Will Be

  • Spearheading the final stage of our office move, including coordinating and communicating our needs with contractors, designers, and furniture vendors
  • Planning the grand opening of our new office (mid-late October)
  • Responsible for managing office services by ensuring office operations and procedures are organized for our El Segundo office
  • Remotely managing office services for our Dallas office (approximately 1-2 hours/month)
  • Working with the building to submit work orders, activate keycard access, and provide parking access as needed
  • Providing general support to all visitors, clients, and vendors
  • Opening the office and ensuring that everything is in order
  • Ordering and setting up breakfast/lunch for in-person client and team meetings
  • Keeping track of inventory for our El Segundo and Dallas offices
  • Ordering, receiving, and unpacking all deliveries for the El Segundo office, including office supplies, food, and drinks
  • Ordering and coordinating deliveries with onsite employees for the Dallas office, including office supplies, food, and drinks
  • Planning fun and engaging office events and team-building activities, including weekly lunch and happy hour monthly for our in-person agency-wide event
  • Finding creative and unique ways to drive more employee foot traffic in the El Segundo office
  • Assisting leaders in celebrating employee recognition initiatives, including birthdays, anniversaries, life events, etc.
  • Maintaining the aesthetic integrity of the office, conference rooms, and kitchen
  • Managing the conference room calendars and office/desk booking for visitors
  • Assisting with other Wpromote locations' office operations on an as-needed basis
  • Supporting IT/HR with new hires and current employee/vendor management as needed
  • Providing support on miscellaneous office projects regarding our hybrid, remote-first work environment
  • Responsible for staying up to date with local and federal COVID-19 guidelines while working in the office and updating our work-in-the-office policies as needed
○ We currently do not have any COVID-19 mandates, but we stay in compliance with local and federal guidelines
You Must Have
  • 2-3 years of administrative or office management experience
  • Excellent customer service skills
  • Strong written and verbal communication skills
  • Positive energy, presentability, and punctuality
  • Solid ability to multitask and pay attention to detail
  • Flexibility and the ability to prioritize new tasks as they come in
  • Ability to work independently and work within a team environment

  • Experience with in-person client and/or team meetings
