We're looking for a motivated Operations Coordinator, to help manage our warehouses, fulfillment services, mailroom, and trade shows, along with ensuring operational efficiency, while minimizing costs.

A Successful Candidate Will Have the Following:

  • High school diploma or equivalent
  • Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.
  • Two years’ office operations experience.
  • Experience with Enterprise ERP systems is preferred (but not required).
  • Excellent interpersonal and communication skills.
  • Ability to work well under pressure and adapt to changing priorities in a fast-paced environment. external partners.
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  • Detail-oriented with a focus on accuracy and data integrity.
  • Effective communication and interpersonal skills to collaborate with internal teams and external partners.
  • Ability to stand, reach and lift at least 50 lbs.
  • Self-motivated; able to work independently.

Here’s a look at the essential duties of this role:

  • Oversees mailing services to ensure tasks are operating efficiently and timely. Ensuring issues with products with damages/returns from customers/sales team/ inventory manager are handled in a timely manner.
  • Assists the Inventory Operations Manager with data entry into our ERP to confirm shipments of print products along with ensuring our Amazon account has ample inventory based on the recommendations given on a weekly basis.
  • Relocates staff, file cabinets, computers, telephones, books, files, etc. throughout the office.
  • Provide shipping estimates to international department and creating international clearance documents for both small and large shipments.
  • Maintains and orders copy paper, provides minor maintenance on copiers, and calls for service when copiers are not working.
  • Receives calls from staff regarding office maintenance problems, and reports building maintenance problems to the Office of the Building or building-cleaning supervisors.
  • Reviews invoices for accuracy.
  • Delivers large packages to personnel throughout the office.
  • Liaison with office equipment vendors, copier machine vendors, snack and soda machine vendor, and mailing services’ vendors, etc.
  • Assists in providing office security procedures.
  • Acts as fire marshal coordinator.
  • All other duties as required.
