Woodbury University is Hiring an Administrative Assistant - Student Affairs Near Burbank, CA

Woodbury University invites applications for the position of Administrative Assistant in the Student Affairs. The individual will assist in the creation of a positive student experience by coordinating student affairs administrative processes and supporting students' developmental needs. The candidate must be well organized, have strong problem-solving abilities, and can meet critical deadlines. We are looking for a motivated self-starter who is people-oriented and gets along well within a team.
This position qualifies for university sponsored employee benefit plans and programs (e.g., group health insurance, life insurance, tax deferred annuity plan, annual vacation, sick, and paid holidays), subject to the eligibility requirements and conditions of each plan and program.
Salary/Hourly Range: $21.68 - $22.64 (commensurate with experience and qualifications).
Responsibilities
Administrative
  • Schedule student meetings and other appointments utilizing Outlook.
  • Manage administrative and organizational functions which further the mission of the Student Affairs office.
  • Updates and maintains webpages.
  • Maintain the Student LMS Database for Title IX training: assigning new students, running reports, sending reminders, and responding to students' questions.
  • Maintain all Conduct files as needed by supervisor.
  • Attends and takes notes at meetings as needed.
  • Is the main Student Affair's point of contact person for employees, students, and guests in regards to Q&A, assistance, and passing on information to the rest of the team.
  • Creates and submits reimbursement forms for the supervisor.
  • Creates and maintains monthly calendars and assigns shift rotations for Student Affairs, Professional Staff, and CARE Team.
  • Handles the administrative needs of the Professional Staff, CARE Team, weekly email updates, creating flyers, and managing emails.
  • Assist the supervisor in updating and maintaining the Student Handbook.
Assist RLC with Housing Administrative duties:
  • Maintain and regularly update confidential student rosters and occupancy lists.
  • Gathers and maintains data within the student-housing database for use in daily, weekly, monthly, and yearly reports.
  • Assists with creating student accounts, assigning rooms, submitting maintenance tickets.
  • Assists with all major Housing events including move-in and move-out.
General
  • Assists with daily administrative needs such as monitoring Student Affairs email and phone calls.
  • Assists Student Affairs during Campus Events, including Graduation.
  • Create and maintain all flyers for the department and events as needed.
  • Attend weekly Student Affairs meetings and ad hoc meetings as necessary.
  • Provide quality customer service and positive interactions to parents, students, and University staff.
  • Other duties as assigned.
This position is designated as Campus Security Authority (CSA) based on the job functions:
  • A Campus Security Authority (CSA) is an individual, who by virtue of their university responsibilities and under the Clery Act, is designated to receive and report criminal incidents to the Department of Public Safety so that they may be included and published in the university's Annual Security
Qualifications and Education Requirements
  • Bachelor's degree in a related field or equivalent preferred
  • 2-3 years of administrative experience (higher education experience preferred)
  • Consistently demonstrates polished interpersonal, organizational and communication skills.
  • Demonstrate the ability to exercise judgment in order to shift priorities, organize multiple tasks simultaneously, and work with minimal direction.
  • Detail orientated and organized.
  • Ability to collaboratively with other staff.
  • Advanced knowledge of Microsoft office suite (Word, PPT, Excel...)
