We are looking for a dynamic and highly experienced Executive Assistant that's passionate about psychedelic medicine and its potential to radically impact the mental health industry. As the right hand for a high level CEO, you will play a crucial role in supporting and optimizing the CEO's effectiveness and ensuring the seamless operation of a high performing start up.

As part of our agile and entrepreneurial team, it's vital that you can swiftly adapt to new channels and methodologies.The ideal candidate will possess exceptional communication skills, impeccable organization, and be able to think three steps ahead at all times. We are looking for a motivated individual who is excited to learn the ins and outs of the psychedelic industry and is passionate about our mission.

On a day-to-day basis, this position will be a blend of in-person and remote work. The Executive Assistant will work directly with our CEO on a wide variety of personal and company related tasks, while also providing support to the Co-Founder and other members of the leadership team.

Responsibilities:

  • Act as a primary point of contact between executives and internal/external stakeholders, demonstrating professionalism and discretion in handling sensitive information
  • Organize and coordinate high-level meetings, including preparing agendas, distributing materials, and ensuring timely follow-up on action items
  • Efficiently manage the CEO’s calendar, ensuring optimal scheduling and coordination of meetings, appointments, and travel arrangements
  • Arrange personal and business related travel itineraries, including bookings, flights and accommodations
  • Successfully complete critical aspects of deliverables with a hands-on approach, including drafting emails, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the company
  • Assist in the preparation and editing of reports, presentations, and other documents
  • Coordinate and execute personal and company events, activations, and other special projects
  • Keep excellent track of CEO’s expenses and other financial considerations
  • Office and home management (stocking, coordination with cleaning crews, etc)
  • CRM database management and detailed upkeep of all contacts
  • Create daily follow up reports on CEO’s personal and business related tasks
  • Act as the gatekeeper and manage priorities effectively
  • Develop and upkeep new organizational systems for personal and business sectors
  • Copywriting for executive profiles, decks and ads

REQUIRED QUALIFICATIONS

  • Bachelor’s Degree required
  • 2 years proven experience as an executive assistant to C-Level executives
  • Previous work experience at a fast paced and growing start up
  • Proficiency in Google Suite, Zoom, and other relevant softwares
  • Can stay on top of and learn new and improved online task management tools to optimize executive workflow
  • Excellent interpersonal skills and ability to work with a wide range of personalities
  • An effective writer and communicator who can clearly articulate decisions and mobilize support for key initiatives
  • Exceptionally detail oriented and organized
  • Ability to think on your feet and adapt to a rapidly changing environment
  • Proactive and can think three steps ahead
  • Creative problem solver and embodies a high-energy “nothing is impossible” attitude
  • Lives in Los Angeles and owns a vehicle

PREFERRED QUALIFICATIONS

  • Deeply passionate about the psychedelic medicine and mental health industries
  • Previous work experience in the psychedelic medicine, mental health, or health and wellness industry
  • Biology, psychology, or neuroscience background
  • Proficiency in Airtable, Hubspot, Notion, and other softwares and CRMs
  • Lives near Marina Del Rey
