WNDR Museum is Hiring an Office Manager Near Chicago, IL

Job Overview:

We are looking for a highly organized, adaptable, and proactive Office Manager to ensure our office operations run smoothly and efficiently. This multifaceted role includes managing office snacks and lunch arrangements, overseeing mail services, handling office expenses and travel arrangements, setting up for meetings, assisting the HR department with document curation and system work, providing administrative support to the executive team as needed, managing calendars and documents, ensuring the office is a fun, clean, and welcoming place to work, assisting with new hire setups, and managing company announcements. The Office Manager will report directly to the Director of People Operations. The ideal candidate will have strong communication skills, attention to detail, and the ability to manage multiple tasks efficiently.

Responsibilities:

  • Ensure the office environment is comfortable, welcoming, and fun by managing and stocking office snacks and making meal arrangements for key meetings and weekly team lunches.
  • Liaise with cleaning and food vendors to maintain high standards of cleanliness and provide healthy high quality food options.
  • Manage mail services, including sorting, distributing mail, and coordinating package deliveries, ensuring timely distribution to staff.
  • Manage office expenses, process invoices, and maintain an inventory of office supplies.
  • Coordinate travel arrangements for staff, including booking flights, accommodations, and transportation.
  • Manage executive and company-wide calendars, scheduling meetings, appointments, and ensuring conflict-free scheduling.
  • Oversee document management for the office, ensuring efficient organization and confidentiality.
  • Prepare and set up areas for meetings, ensuring necessary equipment and materials are arranged.
  • Assist the people operations department with document curation, interview scheduling support and managing systems.
  • Assist with new hire setups, including workspace preparation, orientation materials, and IT needs to ensure a smooth onboarding process.
  • Manage and distribute company announcements, maintaining effective internal communications as needed.
  • Provide timely and efficient administrative support to the executive team as required.
  • Serve as the primary point of contact for office-related queries from staff and visitors.
  • Implement and maintain office administrative systems and procedures to improve efficiency.

Qualifications:

  • Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant, preferably in a creative or tech-oriented environment.
  • Bachelor's degree preferred, with a demonstrated interest in operations or people operations.
  • Proficiency in Google Workspace and MS Office, especially in Docs, Sheets, Slides, Calendar, Excel, and Outlook.
  • Excellent time management skills and the ability to prioritize work effectively.
  • High attention to detail and excellent problem-solving skills.
  • Strong written and verbal communication skills.
  • Robust organizational and planning skills in a fast-paced environment.
  • A creative mind with an ability to suggest improvements to make the workplace more enjoyable.
