JOB DESCRIPTION FOR

CONSERVATION DEPARTMENT

GENERAL SUMMARY
The Office Manager is responsible for the efficient and accurate performance of a variety of designated clerical, recordkeeping, receptionist, customer service and office management duties for the Conservation Department.

QUALIFICATIONS

TRAINING AND EXPERIENCE

Education:

Associate degree in business administration or related field is preferred or any equivalent combination of experience and training that will have provided the required knowledge, skills and abilities with an emphasis in clerical/bookkeeping/office applications. Additional training and experience preferred. Ability to express oneself clearly and persuasively, both orally and in writing; ability to effectively operate a computer and a variety of applications. Standard work week. May require occasional weekend and evening hours.

Required Licenses, Registrations, Certifications:

Iowa Driver’s License

Safety Training Requirements:

Certification in CPR & AED, Blood-borne pathogens, Hazard communication, Office Safety & Ergonomics. Additional training may be assigned.

ESSENTIAL JOB DUTIES

Receives incoming telephone calls, e-mails and walk-in public directing inquiries to appropriate staff person/department or handles the request through dissemination of information.

Assists with the Department’s reservations and online reservation system

Prepares and distributes program and event information for the public

Updates the department websites and social media information

Drafts communications from dictation or various types of information provided for appropriate staff person’s signature

Assists with proper payment of bills submitted to the department for approval by the director

Prepares all claims against department for payment and enters in the computer using department codes and accounting system

Provides assistance to the director to maintain and balance department financial records with those from county auditor’s office

Helps prepare monthly department financial statement for board review

Orders and purchases office supplies

Compiles and organizes department expenditures and revenues to create monthly and annual reports

Prepares department revenues for deposit

Helps with the monthly department newsletter, brochures, and other electronic or paper media

Maintains department files on the following:

  • All master files on financial, program and project involvements
  • Conservation Board meeting minutes
  • Official contracts, documents, lease and land records in appropriate order
  • Assures confidential personnel information is not disseminated
  • Fixed Asset Inventory
  • Friend’s records

Maintains the general appearance and orderliness of the office and meeting rooms

Assists department staff with grant application preparation

Coordinates department special event permits and process

Helps with the Friends of Webster County Conservation on membership and communication

Attends continuing education instruction (District Meetings, Iowa Association of County

Conservation Board Employees, ICCS Conference)

Represents the board on local and state tourism boards and organizations

Maintains effective working relationship with other conservation and community organizations

Familiar with office equipment such as computers, copy machines and phone systems

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

Possession of competent telephone communication skills to effectively and pleasantly communicate with the public

Considerable knowledge and skills in computer applications with abilities to operate various programs related to payroll, payment of bills, word processing, tables and graphs, scanning of information to document and email

Knowledge and application of accounting of funds, coding of bills and proper calculation of payments

Ability to manage and update the department website and social media platforms to provide current and accurate information

Knowledge of filing processes and procedures to accurately maintain department files

Ability to establish effective working relationships with co-workers, board members, public officials, conservation organizations, and the public

Regular and reliable attendance at work reporting location is an essential function of this job. A successful applicant must have the ability to frequently push, pull, lift and/or carry equipment, supplies and other materials weighing up to 10 lbs., and to occasionally push, pull, lift and/or carry equipment supplies and other materials weighing up to 25 lbs. An applicant must also possess the hand-eye coordination and manual dexterity to use hands and arms to reach, handle, grasp and feel, operate standard office equipment and any other equipment that is used to perform the essential functions of this job.

Work hours may be required before and after normal business hours.

Have clarity of speech and hearing which permits effective communication.

Have sufficient vision which permits moderate production and review of a wide variety of materials both in electronic and hardcopy formats.

Work requires interaction with the general public and may be stressful when dealing with the population served by the department and/or meeting deadlines.

Job Type: Full-time

Pay: $18.11 - $22.45 per hour

Expected hours: 40 per week
