What We’re Looking For: Walstrom Marine is looking for a highly organized and dedicated Executive Assistant to the President. The ideal candidate for this role is an excellent communicator with the ability to work in harmony with all departments. We are searching for someone with experience in Executive Assistant, Admin, or Office Management roles.
Main Duties and Responsibilities:
- Organizing the President’s calendar, scheduling meetings, appointments and making travel arrangements. This will involve coordinating with other employees and external contacts.
- Primary point of contact for the President; screening and responding to emails, phone calls and other correspondence on the President’s behalf. This includes drafting emails, memos, reports and other documents.
- Organize and prepare for meetings, including compiling agendas, gathering documents and coordinating logistics of meetings, such as booking conference rooms and arranging catering. Attend meetings for minute taking; following up on action items.
- Providing general administrative duties, such as filing, data entry, maintaining records, managing credit card expenses and receipts
- Coordinate with Board of Directors and ownership group
- Act as the liaison between the President, Executive Team and employees. Build and maintain relationships with external stakeholders, including customers, clients and members of the community
- Garner a high-level understanding of all operations and current office events as the go-to person for Management and Executive Team to consult with while maintaining strict confidentiality regarding sensitive information and ensuring the President’s privacy is protected
- Represent the Company and the President with professionalism in all interactions, both internal and external
- Assist Marketing with arranging office spaces, including ordering furniture and ensuring seamless coordination with IT
- Ensure company compliance on manufacturer, state, and local levels ensuring all departments are supported in filings and have the proper information
- Handle all incoming donation and sponsorship requests
Requirements and Qualifications:
- Strong written and verbal communication skills
- High confidentiality of sensitive information
- Organizational and experienced problem-solving skills; finding solutions independently or escalating them to the appropriate person

Schedule:
- 8-hour shift
- Monday – Friday 8am – 5pm, possible Saturday availability required during summer months and special events
