Volunteer Behavior Health Care System is looking for an Office Manger for our Murfreesboro location.
The Office Manager will:
Manage, organize, coordinate and monitor office procedures.
Create and maintain a pleasant work environment ensuring high level of organization effectiveness and communication for staff.
Create and maintain a customer service friendly environment for clients per VBHCS policies and procedures and work well with co-workers from other departments.
Exemplary Duties/ Responsibilities:
Agrees to follow all applicable laws and regulations, including VBHCS Standards of Conduct and VBHCS Policies and Procedures, in order to create and maintain a healthcare and business environment that is committed to integrity and ethical conduct.
Responsible for recruiting, selecting, hiring, orienting, training, supervising, monitoring, and terminating support staff per VBHCS policies, procedures and guidelines.
Open and close office and oversee front desk operations to ensure maximum efficiency in a warm and friendly work environment.
Ensure coverage, approve/sign time-sheets & travel claims, completes performance evaluations and ensures all e-learning training is complete for employees under his/her supervision.
Close out cash sheets and processes deposits in a timely manner.
Responsible for petty cash and all monies collected from clients.
Respond to client complaints.
Understand requirements for all payer sources such as Behavioral Health Safety Net and TennCare.
Upkeep of facility and trouble shoot with maintenance.
Attend meetings and trainings as required and assist with audits.
Oversee purchase orders and order office supplies.
Any and all responsibilities required to assure operations per VBHCS policies and procedures.
Manage intake process and coordinate telehealth.
Assures all clients are scheduled using the No Wrong Door model.
Implements and monitors staff rotation models for intake and medication management services.
Office Manager or designee will assist Med Open Access/Intake Open Access with scheduling
Ensure all required intake paperwork is being completed, monitor flow, assure follow-up appointments and make adjustments as needed.
Provide assistance to the Director.
Other duties as assigned.
The Office Manager/support staffs are part of the Care Management Team. Office Manager/support staff will assist and support the team to ensure TennCare and BHSN clients receive care coordination services as appropriate. The Office Manager will assist and monitor clients’ compliance with care plan; track and monitor care coordination activities and assure team like environment.
SKILLS & ABILITIES:
Knowledge of office administrator responsibilities, systems and procedures per VBHCS policies; Proficiency in Qualifacts/EHR and MS Office/Excel, and operation of office equipment such as fax, printers, phones, computers, postage; Excellent time management skills and ability to multi task and prioritize work assignments; Attention to detail and problem solving skills; Excellent written and verbal communication skills required to collaborate with support staff, coworkers, management and clients; Strong organizational and planning skills for fast paced work environment; Creative mind focused on implementing improvements in a constant changing environment; Leadership skills required in order to supervise, motivate, discipline and resolve conflicts on a daily basis; Knowledge of VBHCS policies and procedures.
EDUCATION/EXPERIENCE:
Minimum of a Bachelor’s Degree in a health-related field of counseling, psychology, social work, or other behavioral sciences and at least 5 years’ experience in case management and an administrative position.
