Position Summary:

In this newly crafted role, we are in search of a dynamic inventory and office administrator to join our team at our Heartland Tech Center located in Murfreesboro, TN. As a key contributor, you'll be entrusted with managing inventory, overseeing office operations, and providing essential support to our procurement team in areas such as shipping, receiving vendor collaboration and improvement initiatives. Your role as the Office Administrator will be pivotal in maintaining seamless daily operations at our facility. Position Responsibilities:

Inventory Management:

  • Handle the shipment and receipt of goods and materials, ensuring accuracy and timeliness.
  • Maintain accurate records of inventory and shipments.
  • Implement efficient storage and organization systems to streamline inventory management processes.
  • Conduct regular inventory checks and collaborate with Procurement team on purchasing decisions
  • Utilizes MRP system to track inventory levels, input data, run reports, create packing slips and pick lists, and perform inventory cycle counts.
  • Determines packaging, routing, and arrangements for shipments, considering such factors as nature of items being shipped, method of handling, size, urgency, and cost.
  • Consults rate schedule for specific rates depending on method of shipment and/or distance shipped. Assesses most economical and efficient common or contract carrier, to transport shipments.
  • Adhere to all safety guidelines and company procedures.
  • Collaborate with other departments to meet shipping and inventory needs.

Office Management:

  • Serve as the primary point of contact and manage relationships with building management and vendors to ensure a clean and efficiently operating office; oversee and coordinate office maintenance for facility issues, repairs, cleanings, and improvements.
  • Manage and coordinate office space needs as necessary with the Managing Director.
  • Maintain office supplies, equipment, and facilities, coordinating repairs and maintenance as needed.
  • Organize and prepare conference room for meetings and assist with company events.
  • Handle incoming and outgoing correspondence, including mail and emails.
  • Manage office vendors including those for cleaning, IT, maintenance, etc.

Skillset Requirements:

  • 3 years in Purchasing, Supply Chain, or similar position
  • Strong individual contributor with the ability to multitask, prioritize, and work in a fast-paced environment.
  • Strong analytical and problem-solving abilities to identify risks, help develop mitigation strategies, and make informed decisions.
  • Working understanding of ordering systems; NetSuite experience is a plus
  • Strong problem solving and analytical skills with exceptional attention to detail
  • Exceptional written, verbal and presentation communication skills.
  • Proficiency in Microsoft Office products
  • Ability to lift up to 40 pounds
