GENERAL JOB DESCRIPTION
The Office Manager is essential in assisting the Program Director in establishing a workplace environment that is respectful and supportive of children, staff, and external stakeholders. This position plays a critical role in ensuring the smooth operation of an office environment and is often the central hub of information, while juggling multiple responsibilities simultaneously. The Office Manager will coordinate and oversee administrative duties, and assist in procurement, accounting, recordkeeping, training, and human resource functions of the program.

WHAT YOU’LL BE DOING
  • Perform secretarial and administrative duties for program staff including filing, typing, composing, drafting, and preparing correspondence/memorandums, and compiling a variety of reports.
  • Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.
  • Manage, track, approve and complete appropriate forms for procurement and maintain inventory of items and supplies for the program.
  • Notify, coordinate and schedule staff for training. Maintain employee training records and due dates and collaborate with the Training Department for compliance.
  • Coordinate a variety of practices and procedures regarding human resources administration, such as advertising job positions, initial screenings, onboardings, orientation, employment verifications, personnel records control, contracts, laws, and agreements.
  • Help maintain the program’s daily calendar and assist with scheduling and securing travel arrangements for departmental staff.
  • Maintain accurate and current information for billing, travel expenses, data collection, quarterly stats, accounts, and budget.
  • Research, develop, and implement systems to aid the program’s functionality to become more operationally efficient.
  • Provide effective support by being actively involved in tracking and implementation of department strategic goals.
  • Maintain an elevated level of knowledge of all departments’ functions and activities in order to respond to internal and external inquiries and requests for information and departmental support.
  • Responsible for assisting with cross-departmental communication and help facilitate information, as needed.
  • Monitor and maintain compliance with the organization’s policies, funding sources, and licensing, as applicable.
  • Provide scheduling support, assist in prioritizing, and organizing projects to meet required time frames.
  • Assist in scheduling various meetings and events in compliance with program needs.
  • Coordinate agendas, take notes, and manage action items for meetings.
  • Develop and improve processes, in collaboration with other departments to eliminate complexity, ensuring workflows are streamlined and easy to understand for all staff.
  • Manage, develop, and implement an efficient and confidential filing system to include documents, records, and reports.
  • Open, sort, and distribute incoming correspondence, including faxes and email.
  • Other duties as assigned to meet programmatic needs.
Other Functions:
  • Develop and maintain productive relations with local, state, and federal contacts.
  • Participate in and comply with all meetings, assignments, process improvement, and quality improvement initiatives as assigned by the program director.
  • Must be available to travel to other cities, and community sites as needed to support necessary program operations and for required training and implementation of new initiatives.

MINIMUM EXPERIENCE and/or REQUIREMENTS TO BE CONSIDERED

  • Education
    : Bachelor’s degree in Administration/Management may be substituted for three years of relevant job work experience.
  • Competencies:
    • Professional: Diversified, Communicative, Initiative-taking, Flexible, Meticulous, and Problem Solver.
    • Technical: Administration, and HR Practices.
    • Organizational: Leadership, Teamwork, and Community Approach.
  • Skills: Office 365, Computer literate with working knowledge of Microsoft Windows (Microsoft Word, Excel) and a variety of online database systems, managing files and records, designing forms and other office procedures and terminology.
    • Bilingual (English – Spanish)
    • Strong reading comprehension, analytical and organizational skills, and abilities.
  • Other: Driver’s License

PREFERRED EXPERIENCE and/or REQUIREMENTS

  • Education
    : Bachelor’s degree in Administration/Management.
  • Experience: One (1) year of work experience in a professional setting.
    • Familiar with unaccompanied children program operations.

ORGANIZATIONAL INFORMATION

WORKING CONDITIONS
Ability to see at normal distance, hear normal conversations and sounds and use hands and fingers to fill out required forms. While performing the responsibilities of this job, the employee must be able to access all components of the workstation and other office equipment. Frequent typing, writing, bending, and twisting. Must be able to lift up to 10 pounds.
