Job Purpose:The Human Resources Coordinator serves as the primary point of contact for the Office of Human Resources and performs a full range of varied and complex administrative duties and projects for the Vice President for Human Resources and the Office of Human Resources staff, including greeting and assisting visitors, triaging incoming calls and general email correspondence, data entry, invoice payment, budget tracking, and coordination of human resource sponsored events.
Essential Duties:- Provide primary front desk coverage; answer telephones, greet visitors; triage inquires and issues; answer appropriate questions, assist job applicants, distribute mail, and perform other administrative and office support duties - Provide HR specific and general administrative assistance to the Vice President for Human Resources as needed, including meeting set-up, travel arrangements and special projects- Assist with and collect Work-study new hire paperwork and process accordingly- Data entry into the HRIS, primarily for but not limited to, newly hired faculty and staff, volunteers, summer staff, non-employee affiliates, faculty emeritus, and visiting professors; enters data changes, primarily for but not limited to name changes, address changes, supervisor and departmental changes- Administer the employment separation process, primarily involved in submitting the Cherwell ticket; transitioning the employment file to the terminated files; removing and documenting the form I-9- Conduct form I-9 audit semi-annually to ensure compliance with federal law- Coordinate Office of Human Resources recognition and training events; room reservation, special equipment from IT, and catering- Order and maintain office supplies and office inventory and oversee the preparation and implementation of work orders for the division - Responsible for administration of divisional billing and receivables; track the division budget activity including reconciliation of expenditures, execute transfers, prepare reporting and highlight exceptions; process invoices for all office expenses; review, reconcile and maintain accurate documentation for all purchases associated with purchasing card(s) - Processes employment verification requests directed to the Office of Human Resources for all staff, students, and faculty, including Act 168, Sexual Misconduct/Abuse Disclosures
Additional Skills Required:- Excellent oral and written communication skills required - Must be able to compose, edit, and proofread correspondence and reports - Must be highly organized and able to handle multiple projects and schedules - Must be able to work in a professional, courteous and confidential manner - Maintains confidentiality of data and information in all matters - Proficient in Microsoft Word, Excel and PowerPoint
- Experience is calendaring, e-mail, and group scheduling, travel, Internet, and database software- Must be able to work on and manage electronic files in multiple platforms- Must be willing to learn emerging technologies- Must be able to respect, support, and contribute to the Universitys Catholic and Jesuit mission- Must be able to support the Universitys commitment to fostering a diverse, equitable, and inclusive culture
Minimum Education Requirements:- Associate degree or equivalent experience
Preferred Education:Minimum Job Experience Requirements:- Office and/or internship experience, preferably in human resources
Preferred Qualifications:Schedule/Work Hours:Monday through Friday, 8:30 a.m.-4:30 p.m. Additional hours as required.
