Job Description Summary
The Education Administrative Assistant is a critical member in the education department. Reporting to the Director of Education, this position is a primary point of contact for external constituents looking to schedule programming at the Arboretum, as well as receiving, maintaining and organizing records and schedules within the department.
This position works closely with the Assistant Director of Youth and Visitor Education in scheduling tours and programs at the Arboretum. This position is responsible for organizing the education volunteer calendar ensuring volunteers are scheduled for education programs. This position also collaborates across Arboretum departments including Visitor Experience, Finance, Horticulture and Development to ensure programs run smoothly.
This position will assist in all areas of the education department as needed, including summer camps, Penn student groups, conferences, visitor events and phone reception.
Availability required for some evening and weekend hours as needed throughout the year.
Job Description
Receive inquiries, schedule and take payment/information for education programs including but not limited to schools, summer camps, scouts, and other private groups. Serve as main point of contact for visiting groups.
Schedule volunteer calendar for private group tours, daily visitor tours, and volunteer continuing education. Serve as main point of contact for education volunteers.
Work closely with Assistant Director of Youth and Visitor Education in program evaluation, and creation.
Collaborate with Visitor Experience staff to ensure smooth entry and arrival for groups as well as any needed site rental and/or catering needs.
Collaborate with School Outreach Coordinator in scheduling Northwest Philadelphia groups for ESP program.
Maintain education department metrics and collaborate with development office on information needed for donor support.
Work with finance office on tracking/reporting income and admission
Other duties as assigned.
Qualifications
Associate's degree in a related field,
1-2 years' experience in an office administration role,
Experience working with volunteers,
Comfortable working with multiple calendars and complex scheduling,
Excellent attention to detail,
Excellent written and verbal communication, especially via telephone and email,
Strong customer service experience,
Comfortable with learning new software platforms, online registration systems, etc.
Proficient with MS Office suite of products,
Ability to work collaboratively.
