UIC is seeking a Program Coordinator (Assistant Director of Donor Acquisition and Engagement) to join the Office of VC Advancement. The Program Coordinator (Assistant Director of Donor Acquisition and Engagement) provides professional leadership and support to the Donor Acquisition and Engagement team to elevate the program and help meet fundraising objectives. Working with the Executive Director as well as the Director of Donor Relations and other team members, the Assistant Director manages projects to optimize donor relations, annual giving, donor acquisition, Advancement communications, and digital fundraising for UI Health. Working within a highly collaborative and intersectional environment, the Assistant Director will manage and support projects that cross multiple units, including the UI College of Medicine, UI Hospital and Clinics, Mile Square Health Center, and the UI Cancer Center.
Duties & Responsibilities:

  • Assist with the coordination and implementation of the scholarship donor reporting cycle and personalized stewardship process for scholarship donors. Manage lists of scholarship recipients and donors, administer recipient surveys and compile results, and liaise with the Dean’s office as needed.
  • Produce compelling written and multimedia reports and communications that gratefully illustrate to donors the impact of their generosity. Gather, research, synthesize, and analyze data to ensure the information shared with donors is accurate, relevant to their giving and interests, and presented in a logical and concise manner. Proofread and copy edit various stewardship materials, ensuring they are high-quality and free of errors.
  • Utilize the constituent tracking database to track donor relations and stewardship activities, confirm accuracy of donor information, generate standard reports and lists for internal use, update prospect plans, and create and manage spreadsheets to support the donor relations team’s daily operations.
  • Review Weekly Gift Reports and Weekly Acknowledgment Reports with the donor relations team to ensure accuracy and quality of data.
  • Maintain growing library of versioned acknowledgment templates, monitor a review schedule, and ensure templates are refreshed regularly and appropriately.
  • Generate and mail gift acknowledgments, working with the Stewardship team and other members of the Advancement team to produce personalized or customized letters as needed.
  • Coordinate the collection of handwritten signatures from UI Health leadership as needed.
  • Help build, align, and execute on calendars of communication for each health unit.
  • Provide support in managing the logistics for various appeals and multichannel campaigns, which may include coordinating mailings, liaising with vendors, and supporting the digital team with the management of our social media pages and data stack.
  • Track deadlines and progress for departmental projects. Compile data to support the tracking of key performance indicators for the department.
  • Manage procurement and inventory of branded materials (e.g. notecards, swag) for the team.
  • Handle fulfillment of back-end premium offers as needed.
  • Arrange meetings with faculty, staff, donors, prospects, and others as requested by the Executive Director and the Associate Vice Chancellor for Advancement, Health Affairs (AVC).
  • Participate in meetings and events as required. Provide support with planning and execution of special events as needed.
  • Contribute to special projects and perform additional duties as assigned.

Minimum Qualifications Required:

  • Bachelor’s degree.
  • A total of one (1) year (12 months) in education, training and/or work experience in the area of specialization inherent to the position. (Note: Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.)
  • Based on position requirements, additional education, training, and/or work experience in the area of specialization inherent to the position, may be required.
    Additional education, training and/or work experience in the area of specialization:
  • Three (3) years of demonstrated, relevant work experience – including at least two years in a development/fundraising environment.
  • One (1) year of hands-on experience with fundraising databases, including data reporting and query-building. Facility with data, data analysis, and identifying trends.
Preferred Qualifications:
  • Experience using PowerPoint and other Microsoft applications a plus.
  • High competency using MS Word and Excel, including the ability to create and manipulate pivot tables, apply conditional formatting, and complete complex mail merges.
  • Exceptional attention to detail.
  • Excellent communication, collaboration, and interpersonal skills; ability to interact effectively with a wide variety of professionals and other stakeholders in writing, on the phone, and in person.
  • Demonstrated ability to manage multiple projects and deadlines. Excellent organizational skills.
  • Analytical and problem-solving skills.
  • Direct experience with individual giving and annual fund a plus.
  • Some basic design, layout, and pagination skills a plus.
  • Excellent business and conversational writing skills, with ability to adapt style and voice to different audiences.
  • Experience writing donor-centric communications.
  • Excellent editing skills. Ability to understand and adhere to house style and brand guidelines.
