JOB DESCRIPTION(Non-Management)Job Title: Accountant (Non-Union) Status: Full-Time Department: Finance & Operations (Finance) Grade: Non-Union 
Date Prepared: 1/31/24 FLSA Status: Exempt
SUMMARYTo provide technical lead and administrative support to the Accounting/Finance department. To act on behalf of the Controller in his/her absence. Additionally, this position reports to the Controller.RESPONSIBILITIESInclude the following, but are not limited to:PAYROLL & BENEFITS
  • Prepare necessary payroll/tax requests.
  • Prepare payroll journal entries.
  • Calculate retirement/thrift plan contributions and processes for payment.
  • Communicate with SASI for FSA and HRA benefits.
  • Prepare quarterly organizational unemployment compensation premium calculation as needed.
  • Provide assistance and support to the Human Resources department in the interpretation and implementation of the employee benefit program.
  • Act as backup to payroll processing individuals who process bi-weekly payroll.
MONTHLY CLOSING:
  • Reconcile all bank statements.
  • Reconcile general ledger accounts to the supporting detail.
    • Balance MIP and Andar software for accounts receivable each campaign year.
    • Balance MIP and Andar software revenue accounts for each campaign year.
  • Prepare cash, standard, miscellaneous, and all other necessary journal entries.
  • Monthly S/L Depreciation to include building improvement/office equipment, etc., Excel spreadsheet, journal entries, and year-end addition and disposals spreadsheets.
  • Miscellaneous Excel spreadsheets as needed (example, special events).
  • Review and reconcile balance sheet accounts after monthly journal entries have been entered.
  • Assist Distribution Specialist in balancing the combined campaigns: SECC, City, County and MPS with Andar to the bank.
BANKING/OVERNIGHT INVESTMENTS
  • Service as a liaison with banks on banking issues.
  • Calculate and initiate transfer of funds among operating account and the dedicated accounts for the large public sector combined campaigns.
STOCK DONATIONS
  • Ensure timely sale of all stock donations.
  • Coordinate recording of stock pledges in campaign software system.
  • Prepare acknowledgement letters to donors.
  • Maintain file related to stock donations and corresponding United Way acknowledgements.
GENERAL ACCOUNTING
  • Prepare financial reports for the United Way preliminary and annual audit.
  • Responsible for security and internal controls related to automated payments of agency allocations.
    • Set-up and maintenance of all templates for ACH at the designated financial institution.
  • Assist and/or back-up A/P Accounting Associate with preparation of year-end 1099 tax reports.
  • Provide back-up to Accounting department as appropriate.
CREDIT CARD PROCESSINGGeneral tasks related to all credit card processing:
  • Prepare journal entries.
  • Manual credit card processing.
  • Post credit card payments to Andar.
  • Prepare letters for credit card declines.
  • Correspondence with donors related to credit card transactions.
Specific tasks related to Vision 2, MobileCause, and PayPal:
  • PayPal: run reports.
  • Vision 2: post credit card payments to Andar.
Specific tasks related to Special Events:
  • On-site cash/credit card processing.
  • Reconciliations to Andar and General Ledger.
  • Coordinate iPads and programming of credit card machines for special events.
FUNCTIONAL DUTIES
  • Perform the duties of the Accounting Associate A/P in his/her absence.
  • Perform the duties of the Accounting Associate A/R in his/her absence.
JOB RELATIONSHIPS
  • External: Individual donors, company representatives, financial service vendors, key financial volunteers
  • Internal: All Staff
EDUCATION & EXPERIENCE REQUIREMENTS
  • Required: Two years of college or equivalent advanced training to qualify for an Associate’s degree with an Accounting major.
  • Required: Two years’ general accounting including preparation of general ledger and financial statements. Experience beyond four years can be substituted for a degree.
