Job Summary:

Prepare, monitor, and analyze the financial activity and serve as a financial advisor for an assigned number of operating units (club site locations, program activities, and/or administrative departments) regarding general operations, grants, and restricted gifts for assigned operating units. Identify compliance/nonĀ­ compliance with internal controls and policies and procedures for assigned operating units. Assist with the monthly close and financial reporting process, annual budgeting process, annual audits, and special projects. Serve as the lead accountant for one or more key functions of financial reporting; grants reporting and Uniform Guidance compliance; restricted gifts and pledge receivable reconciliation; cash and investment reconciliation; credit card reconciliation; fixed asset reporting; payroll allocations and reporting; and other external reporting. The Senior Accountant will report to the Controller and work closely with other members of the finance team.

Responsibilities:

  • Prepare monthly and annual financial reports and analyses for assigned operating units, grants, restricted gifts, and other reports as requested.
  • Assist with financial planning and budgeting process for assigned operating units and grants.
  • Conduct regular meetings with managers of assigned operating units to review financial performance, grants compliance and restricted gift transactions.
  • Implement best practices and provide training to operating unit managers regarding financial reporting, adherence to internal controls (as defined by finance department operating policies and procedures) and grant compliance to Uniform Guidance
  • Review transactions for each assigned operating unit to assure account code accuracy, sufficiency of documentation/support/receipts, invoices, check requests, credit card transactions, and payroll allocations.
  • Prepare expense variance analysis for financial report lines comparing a) budget to actual and b) year over year actuals and identify the reason for unexpected results.
  • Prepare monthly and annual account reconciliations for assigned accounts.
  • Must participate in required trainings by the clubs, county, state and/or funders
  • Other duties as assigned.

Senior Accountant Key Functions:

  • Financial reporting and planning
    • Assist with the monthly and annual financial reports to prepare supporting analysis and investigate unexpected variances for all operations.
    • Assist in annual budget development - compiling agency-wide and departmental budget data for use by SLT and department managers in making budget decisions.
  • Grants reporting and Uniform Guidance compliance
    • Assist in preparing annual schedules of federal and state awards for the audit.
    • Assist in assembling all required documentation needed for the annual audit such as the grant awards, audits by award agencies or fiscal agents.
    • Serve as the Uniform Guidance expert, providing training to other staff regarding compliance.
    • Initiate communications and follow-up with appropriate staff to obtain grant budget adjustments or no-cost extensions when needed.

Gift and pledge receivable reconciliation

  • Prepare adjustments when needed to reclassify gifts as directed by development.
  • Assist with the preparation of the annual audit workpapers.

Cash Responsibilities

  • Record monthly bank activity for all cash accounts to the general ledger, including Stripe account and Clubs lockbox deposits.
  • Deposit paper checks using a check scanner and make weekly cash deposits to the bank.
  • Responsible for uploading and resolving positive pay issues.
  • Generating ACH reports for Development
  • Responsible for coding cash receipts and applying to receivables accordingly.
  • Responsible for recording unallowable cost related to grant reimbursements.

Credit card reconciliation

  • Assist in collections and cancel credit cards from terminated staff and remove on-line access.

Fixed asset reporting

  • Record monthly journal entries for depreciation expense.
  • Record journal entries for asset disposal.

Payroll allocations and reporting

  • Assists in the preparation of work papers needed for the annual 401(k) audit.
  • Serve as backup to generating and uploading payroll general ledger to accounting software.

Education Requirements:

  • Bachelor's degree in accounting or finance from an accredited college or university.

Experience Requirements:

  • 3 to 7 years of experience in non-profit accounting preferred.
  • 1 to 2 years of governmental grant administration (Federal, State, City and County) preferred.
  • 1 to 2 years of public auditing experience preferred.

Skills:

  • Strong computer skills using general ledger and Excel.
  • Familiarity with Sage Intacct and related software applications
    • Above average communication skills and a commitment to a team-oriented approach to providing superior levels of finance services to the Boys & Girls Clubs of Greater Milwaukee.
    • Knowledge of governmental grant administration (Federal, State, City, and County) and Uniform Guidance is preferred.
      • Must have a valid WI driver's license, good driving record, and meet State required automobile insurance minimums.
