Greet and field inquires via telephone and in person in an inviting secure atmosphere. Interact with internal staff to assist them with tasks. Package and distribute correspondence via the requested method. Assume responsibility for creating and filing various documents. Prioritize assigned tasks and elevate conflicts as needed. Handle other duties as assigned.

Level of Authority Received and Exercised

Supervisory Authority: None

Decision Making Responsibility: Limited to following established policies and procedures; prioritizing time to accomplish specific duties.

Supervision Received: Minimal required once knowledge of job duties are learned.

Specific Duties

  • Answer and direct internal and external telephones calls in a courteous manner
  • Build relationship with clients
  • Receive incoming and prepare outgoing packages via USPS, etc. as needed; maintain postal machine
  • Pleasantly greet guests; maintain sign-in log; contact appropriate employee to receive visitor
  • Distribute incoming fax documents to appropriate recipient and send outgoing documents as needed
  • Maintain professional environment in reception area
  • Use general Microsoft Office programs and other custom programs to create documents as needed
  • Lock and unlock reception area doors daily
  • Handle other tasks as directed
  • As time progresses through position new tasks will be assigned to you from internal departments:
    • Completing projects and tasks given by Director of Finance
    • Creation of New Client Contracts
    • Making follow-up emails to new clients regarding Contract due dates
    • In charge of ordering office and restroom/break room supplies as needed
    • Update and maintain Standard Operating Procedures for Administrative Position

Minimum Skills, Educational, and Experience Level

Associate Degree preferred; excellent verbal communication and people skills required. Possess self-motivation, accuracy and computer skills. Financial and criminal background check required.
