Job Summary:
We are seeking a highly organized and detail-oriented Executive Assistant to provide comprehensive support to our executive team. The ideal candidate will have excellent communication skills, be proficient in using various software applications, and possess strong problem-solving abilities. As an Executive Assistant, you will play a crucial role in ensuring the smooth operation of our organization.
Responsibilities:
- Manage executive calendars, schedule appointments, and coordinate meetings
- Prepare and edit correspondence, reports, and presentations
- Conduct research and compile data for various projects
- Assist with project coordination and follow-up on action items
- Maintain subcontractor insurance and W-9 records
- Handle confidential information with discretion and maintain strict confidentiality
- Perform general office management duties such as filing, organizing documents, documentation of company procedures, and maintaining office supplies
- Answer phone calls, take messages, and direct inquiries to the appropriate person or department
- Coordinate travel arrangements and accommodations for executives
- Assist with data entry tasks and maintain accurate physical and electronic records
- Other reasonable duties as assigned
Qualifications:
- Proven experience as an Executive Assistant or similar role
- Proficient in using software applications such as MS Office, Adobe Acrobat, and Google Suite
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent written and verbal communication skills
- Attention to detail and ability to maintain accuracy in all work
- Ability to handle multiple projects simultaneously and meet deadlines
- Experience in office management or related administrative roles is a plus
