Position Summary
Trinity College seeks a staff that reflects the changing demographics of our student body. The Administrative Assistant provides organizational support to the Career & Life Design Center at Trinity College. Reporting to the Associate Director of Operations and Marketing, the Administrative Assistant will support areas including general department coordination, event logistics, communications, and data analytics. The position may often be the first point of contact for the Center, and therefore, must become familiar with college community and operations, dedicated to a high degree of customer support and commitment to creating a positive first impression of the College.
The position requires demonstrated strength in the following: administrative initiative and creative problem-solving; prioritization of conflicting demands and recommendations for solutions; list and scheduling management; and Mac and PC expertise. This position will support a variety of operational projects, including payroll and expense processing, supply ordering and equipment maintenance, and work in support of mailings, outreach, and response associated with constituent students, families, alumni, and faculty colleagues. This position will contribute to the Center’s being data-informed, especially in support of transitions and retention, by collecting, analyzing, and mobilizing data, to improve our effectiveness to better support the Trinity student experience and enhance the services that the Center provides. This position will also support marketing efforts alongside the team and will work closely with other Career & Life Design colleagues as well as Trinity College students and staff.
Duties and Responsibilities include support for the following initiatives:
  • Providing administrative support for Career & Life Design staff, which includes scheduling meetings, managing calendars, assisting with travel planning, processing invoices, student payroll, and expense reports, and communicating with staff and other offices on campus to support Center’s constituencies.
  • Preparing logistics and supporting administrative tasks for events and programming, including ordering catering and managing welcome desk/check-in experience.
  • Ordering office supplies and keeping track of inventory.
  • Maintaining organization and cleanliness in Staff Workroom and Storage Room.
  • Recording meeting minutes at bi-weekly staff meetings.
  • Reserving campus space in EMS (Event Management System) for Center events and meetings.
  • Responding to general inquiries from students, staff, faculty, parents, employers, etc. via phone or email; including supporting Interns as they navigate and triage inquiries.
  • Engaging in data collection and analysis, as well as program assessment.
  • Collaborating with Center staff to ensure excellent customer service experience for all guests.
  • Learning and using database and project management software.
  • Facilitating Handshake requests (assessing request, communicating with requester, troubleshooting, etc.) and helping alumni reset accounts (working directly with Handshake).
  • Serving as additional support contact for retention-related appointments
  • Undertaking some weekend or after-hours work that may be required during peak campus time periods (e.g., Admitted Students’ Day, Summer Bridge Programs, Move-In Day, Orientations)
Qualifications
Minimum Qualifications:
  • Associate degree and five or more years of related background or a combination of education, training, and experience that provides the required knowledge, skills, and perspective.
  • Strong computer skills, including Word, Excel, PowerPoint, Outlook, Teams, especially in a Mac environment.
  • Clear and effective written and verbal communications and a professional presentation.
  • Demonstrated accuracy maintaining spreadsheets and rosters as well as analyzing data.
  • Experience in supporting small- and large-scale event logistics.
  • Must be able to work effectively and comfortably with young adults, parents, and the public.
  • Must demonstrate having maintained confidentiality, exercised discretion, and used good judgment.
  • Must exhibit ability to anticipate and react appropriately to a variety of situations and to be resourceful.
  • Strong work ethic, proven organizational and administrative skills, attention to detail, timeliness and punctuality, and ability to balance multiple priorities.
  • Ability to work independently and as a member of a team.
