What You'll Do: We are looking for a talented Administrative Assistant to support 2-3 members of our Executive team. You will play a crucial role in enabling smooth and efficient management of the daily administrative activities surrounding the leadership team and office. In this role, you'll have the opportunity to demonstrate your strengths in communication and collaboration, organization and follow-through, and creative problem-solving. How You'll Help Us Win :
Proactively manage calendars to ensure prioritization and the ability to stay on schedule
Submit and track expense reports for Executives
Assist with department contracts, invoicing, and budget tracking
Consolidate and distribute meeting agendas and other presentation materials as needed
Coordinate travel arrangements with the support of the internal travel team as needed
Assist with incoming and outgoing correspondence, including emails, phone calls, and mail as needed
Occasional internal or external event coordination
Additional projects as needed to assist with the smooth operations of the department or broader office
What You'll Need to Succeed:
Strong organizational skills and the ability to prioritize tasks and meet deadlines
Excellent communication and interpersonal abilities - both written and verbal
Attention to detail and accuracy in all work
Ability to maintain confidentiality and handle sensitive information with discretion
Flexibility and adaptability to changing priorities and situations
Confidence to seek out and identify solutions independently, but know when to ask for help
Positive attitude and willingness to learn and grow within the role
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Proven experience in an administrative role or similar capacity
This role is expected to be in the office up to 5 days a week
